Our clinics are highly patient focussed with the cultivation of a friendly and relaxed experience, allowing patients to attain their full potential through a multidisciplinary rehabilitation process.

Proactive is part of the AM Healthcare Group, an international group of companies whose principal activity is to supply products and services that enhance the lives of those who require devices to improve their mobility and accessibility.

Due to planned development within Proactive, we have a new and exciting opportunity for a Clinic Co-Coordinator to join our team in Leeds

This role requires strong organisational and customer service skills to ensure the smooth and efficient operation of our clinic and delivery of high-quality patient care.

Role and responsibilities include:

Patient Coordination:

  • Assist new patients through the intake process and ensure necessary forms are completed.
  • Schedule appointments for patients, working closely with the clinical team to ensure a seamless positive patient journey.
  • Provide front of house service to ensure all patients are supported and receive exceptional customer service.
  • Provide hospitality services for patients and clinicians.

Communication Management:

  • Manage clinic email correspondence and handle patient inquiries promptly.
  • Answer phone calls, transfer as needed, and take messages.
  • Provide patients with exceptional customer care and provide relevant information on their current or potential care with Proactive

Facility Organisation:

  • Maintain cleanliness and functionality of clinic spaces.
  • Monitor and replenish office supplies and essentials.

Administrative Support:

  • Assist with invoicing and billing tasks.
  • Maintain patient records
  • Scan and file patient documents and clinic records.
  • Handle incoming and outgoing mail and package shipments.

Event Coordination:

  • Assist in organising seminars and training events.
  • Manage guest lists and logistical details.

General Assistance:

  • Support clinicians with administrative tasks as needed.
  • Address any issues or concerns related to clinic operations.
  • Act as a PA to our Clinic Manager during busy periods

Requirements

  • Previous experience in administration or customer service preferred.
  • Strong organisational and communication skills.
  • Ability to multitask and prioritise effectively.
  • Proficiency in Microsoft Office Suite.
  • Attention to detail and a customer-focused mindset.
  • Adaptability to a fast-paced environment.

Experience in a private healthcare setting desirable but not essential
