Role Overview: We are looking for a friendly, organised and customer-focused Sales & Reservations Assistant to join our busy Sales & Reservations Team. Reporting to the Sales & Reservations Manager, you will be one of the first points of contact for customers enquiring about holidays and day trips, whether in person, by telephone, by post or by email. This is a varied and rewarding role for someone who enjoys helping customers, working accurately and contributing to a successful team.

Key Responsibilities:

Customer Service and Sales

  • Answer incoming calls professionally, respond to customer enquiries and transfer calls to the appropriate department when required.
  • Welcome and assist customers visiting the office, providing helpful information on holidays, day trips and related services.
  • Support customers and travel agents with holiday and day trip bookings from initial enquiry through to confirmation.
  • Offer suitable alternative tours, dates or options when a customer’s first choice is unavailable.
  • Contribute to team sales targets by delivering excellent service and identifying opportunities to meet customer needs.

Bookings, Payments and Administration

  • Process bookings accurately using the company’s reservation systems, ensuring all customer and booking details are recorded correctly.
  • Prepare and issue confirmations, invoices and relevant customer documentation.
  • Process payments, including card, cheque, cash and gift voucher payments, and record information accurately for the Accounts Department.
  • Monitor outstanding balances, follow up overdue payments and deposits politely and professionally.
  • Deal with bookings and payments received by post and ensure all correspondence is handled promptly.

Availability, Cancellations and Supplier Liaison

  • Check availability and maintain accurate reservation information.
  • Liaise with hotels to request additional rooms, confirm facilities and support customer requirements.
  • Manage reservation lists following cancellations and contact customers where suitable places become available.
  • Handle day trip and holiday cancellations in line with company procedures, including charges, forms and customer correspondence.
  • Pass any confirmed holiday changes, amendments or cancellations to the Sales & Reservations Manager for action where required.

General Office Support

- Send brochures by post when requested and update customer mailing information accurately.

- Carry out general office administration, including filing, photocopying, monitoring messages and managing daily post.

- Maintain supplies of hotel brochures and office materials.

- Maintain customer medical forms and liaise with the insurance company where required.

- Support promotional days, evenings and familiarisation visits when requested.

- Take part in relevant training and development to support your success in the role.

- Carry out other reasonable administrative duties as required.

This list is not exhaustive, and you may occasionally be asked to carry out other reasonable duties in line with the needs of the business.

Hours of Work: Full-time position, Monday to Friday, 09:00 to 17:00, with a half-hour lunch break on a rota basis with other team members.

About You:

We are looking for someone who enjoys working with people, takes pride in providing excellent customer service and is comfortable working in a busy office environment. You will be organised, accurate and confident dealing with customers by telephone, email and face to face.

- A strong customer focus and commitment to delivering excellent service.

- A friendly, professional manner and confidence when speaking with customers.

- Excellent attention to detail and the ability to process information accurately.

- Good organisational skills, with the ability to prioritise tasks and manage a varied workload.

- A positive team approach, with flexibility and a willingness to learn.

- Computer literacy, including Microsoft Word and Outlook, with the ability to learn industry-specific software packages.

- Previous experience in customer service, sales, reservations or travel would be advantageous, but is not essential.
