Full job description

We are looking for an organized and motivated Hotel Wedding & Event Coordinator to support our sales team and help drive business growth. Hartsfield Manor is a busy 50 bedroom wedding & conference venue located in 12 acres of grounds in the Surrey Hills.

You will play a key & strategic role within the business and support the hotel’s proactive sales activities along with managing client enquiries, co ordinating bookings, and maintaining strong relationships with corporate clients, travel, agents and event organizers.

The position is part time (20-24 hours per week) based at the Hotel.

Key Responsiblities

Sales:

- Ensure all new contacts are entered into PMS and database of commercial contacts is kept up to date.

- Carry-out regular follow-up calls/emails to identify contacts to build relationship, identify leads and revenue opportunities whilst promoting the hotel’s facilities, services.

Team support:

- Support the sales and events team with the organisation of networking events, participation to trade and wedding shows, including coordination of marketing materials, appointments and follow-ups.

- Support the team with the coordination of virtual and face-to-face on- and off-site presentation to corporate and agency contacts.

- Produce weekly, monthly and quarterly report relating to revenue tracking and conversion

- Coordinate with Chef the provision of menus for all public events, ensuring printed and digital documents respect brand guidelines

Requirements

· Previous experience in hospitality and hotel sales is essential.

· Excellent communication skills, organisation and time management skills

· Confident using Microsoft office and hotel booking systems (OPERA & Hotsoft)

· Professional, friendly and customer-focused approach
