Position: Clinic Concierge & Patient Experience Administrator

Location: Thames Dental & Skin, Thames Ditton
Type: Full time

The Role

Thames Dental & Skin is a growing, high-quality dental and medical aesthetics clinic based in the beautiful Surrey area. We are building a premium, patient centred business with ambitious plans for growth, and we are now looking for an exceptional Clinic Concierge & Patient Experience Administrator to be at the heart of that journey.

This role goes far beyond a traditional front desk position. You will be the face, voice and first impression of the clinic, playing a pivotal role in patient experience, patient retention and clinic growth. You will combine outstanding customer service with commercial awareness, strong administration skills and a genuine interest in dental and aesthetic treatments.

We are looking for someone confident, organised and proactive a true “can do” individual who takes ownership, follows things through and understands that every patient interaction matters.

Key Responsibilities

Patient Experience & Concierge Service

  • Deliver a warm, professional and highly personalised welcome to every patient, in person, by phone and online
  • Act as a trusted first point of contact, building rapport and long-term relationships with patients
  • Ensure every interaction reflects a premium, caring and professional brand experience

Patient Enquiries, Sales & Follow Up

  • Confidently handle new patient enquiries across phone, email and social platforms
  • Be knowledgeable about treatments, pricing and patient journeys, guiding patients to the most appropriate options
  • Proactively follow up enquiries and existing patients to convert interest into booked appointments
  • Identify opportunities to cross sell and upsell treatments in a natural, ethical and patient focused way

Clinic Administration & Organisation

  • Manage appointment scheduling efficiently, optimising diaries and minimising gaps
  • Maintain accurate patient records and ensure excellent data hygiene
  • Process payments, manage correspondence and support smooth clinic operations
  • Liaise closely with clinicians and management to ensure seamless patient journeys

Marketing & Social Media Support

  • Support day to day social media activity, including responding to messages and enquiries
  • Capture content ideas and insights from the clinic floor that support marketing and growth
  • Act as a brand ambassador online and offline

Growth Mindset & Team Contribution

  • Take pride in being part of a growing organisation and contribute ideas to improve systems, service and patient experience
  • Be flexible and hands on, understanding that building a great clinic sometimes means rolling your sleeves up
  • Work collaboratively with the wider team to support business goals

About You

Experience

  • Proven experience in a front of house, concierge or customer facing role
  • Experience within healthcare, dental, aesthetics or luxury service environments is highly desirable
  • Comfortable discussing treatments, services and pricing with confidence

  • Highly organised with excellent attention to detail
  • Naturally confident communicator with strong sales and follow up instincts
  • Calm, professional and polished, even in busy environments
  • Proactive, reliable and takes ownership rather than waiting to be asked
  • Comfortable using booking systems, patient management software and social platforms

Salary-: £14.50-£16 per hour with opportunity for performance related bonus

Job Type: Full-time

Expected hours: 35.0 – 36.5 per week
