Full job description

This Company is a fast-growing vehicle and transport business operating across the Central Belt of Scotland. We handle high job volumes daily and work with a mix of private customers, insurers, and commercial clients.

We’re now looking to take the business to the next level by improving our systems, processes, and performance — and we’re hiring someone to lead that.

The Role

This is a hands-on role focused on improving how the business runs day-to-day.

You’ll be responsible for:

  • Building systems
  • Improving efficiency
  • Increasing cashflow
  • Giving management better visibility of performance

This is not an IT support role — it’s about using systems and technology to improve a real-world operation.

Key Responsibilities

Cashflow & Finance Systems

  • Ensure invoices are raised quickly and accurately (same/next day)
  • Improve debtor tracking and payment collection processes
  • Reduce payment delays and improve cashflow visibility

CRM & Job Tracking

  • Implement and manage a CRM/job tracking system
  • Track every job from booking to payment
  • Build dashboards showing:
  • Revenue per job
  • Customer profitability
  • Outstanding payments

Operations & Efficiency

  • Improve internal processes across recovery and transport operations
  • Identify inefficiencies and implement solutions
  • Support better scheduling, job allocation, and workflow management

Website & Lead Generation

  • Improve website performance and conversion rates
  • Track and analyse where jobs and enquiries come from
  • Support growth in commercial contracts and inbound leads

Systems, Automation & AI

  • Introduce automation to reduce admin workload
  • Implement practical AI tools where useful (reporting, communication, workflows)
  • Ensure systems are simple, effective, and actually used by the team

About You

We are looking for someone who:

✅ Has:

  • Experience improving systems or operations in a business
  • Strong problem-solving ability
  • Confidence working independently and taking ownership
  • Commercial awareness (understands how businesses make money)

✅ Ideally has:

  • Experience in logistics, transport, or service-based businesses
  • Experience implementing CRM systems
  • Strong Excel / data analysis skills
  • Exposure to automation tools or AI systems

❌ Not suitable if:

  • You are purely IT support focused
  • You only work at a strategic level and avoid hands-on work
  • You lack experience improving real business operations

What Success Looks Like (First 6–12 Months)

  • Faster invoicing and improved cash collection
  • Clear visibility of business performance
  • Improved efficiency across operations
  • Systems that reduce admin and support growth

Why Join Us

  • Direct impact on how the business runs and grows
  • Opportunity to build and shape systems from the ground up
  • Work closely with the business owner on growth strategy
  • Be part of scaling a strong, established operation

Pay: £40,000.00-£50,000.00 per year

Work Location: In person
