The Pension Planner is a team of experienced pensions specialists committed to helping individuals maximize the value of their pensions and make the retirement process straightforward. We have an exciting and rewarding opportunity for an experienced Pensions Administrator to join our already successful team. Due to our unrivalled reputation for excellent customer satisfaction, the successful candidate will assist in the provision of administration services, which means you will need to be efficient, organised, be able to multi-task and prioritise accordingly. This role is imperative for the business, and you will be an integral part of our team.

You would be responsible for supporting the Financial Advisers of the company in day-to-day Administrative tasks, which will include direct contact with clients, 3rd parties and internal stakeholders.

Role Description

This is a full-time on-site role for a Pension Administrator located in Sheffield. Responsibilities include:

  • Processing letters of authority to financial providers
  • Chase providers for required information
  • Keep clients updated on the progress of their client file
  • Issue advice recommendation packs to clients
  • Submit advice and annual review reports via the Intelliflo back office system
  • Provide a high level of customer service and care throughout the client journey
  • Process and monitor all new business applications
  • Process and monitor all new business applications for both Directors and Financial Advisors.
  • Liaising with clients and product providers.
  • Maintain a diary system for all cases submitted and provide regular updates on cases and their development.
  • Ensure that all files are compliant with regards to AML (Anti-money Laundering) requirements. / GDPR
  • Provide support to the Directors and Advisers with regards to:
  • Client valuations.
  • Key client reviews.
  • Completion of all required documentation.
  • Meeting preparations
  • General servicing inquiries including policy and contract alterations.
  • Taking calls from both product providers and clients.

Required Skills and Experience:

  • Proven experience as a Financial Services Administrator within a wealth management/IFA firm
  • Strong understanding of the IFA process and regulatory requirements
  • Excellent communication skills, both written and verbal
  • Reasonable knowledge in Microsoft Excel
  • Ability to prioritise tasks and manage time effectively
  • Attention to detail and accuracy in documentation
  • Customer-focused approach with a commitment to providing exceptional service

About you:

  • Good communication skills both verbal and written.
  • Analytical and numerical ability – able to analyse, evaluate and interpret data.
  • Ability to multi-task.
  • Ability to prioritise workloads and deal with any urgent issues that arise.
  • We are ideally seeking someone with a minimum of 12 months experience working within an administrative role within a Financial Advisory firm.
