Full job description

Job Title: Property Legal Assistant

Job Purpose

To provide high-quality legal and administrative support to the property and legal teams, assisting with a range of property-related transactions, projects, and ongoing casework. The role requires direct experience within the property sector, supporting the smooth delivery of acquisitions, disposals, leases, and wider property portfolio management.

Key Responsibilities

Property Transactions Support

  • Assist with the preparation, review, and organisation of legal documents relating to property transactions, including leases, licences, assignments, and transfers
  • Support the progression of acquisitions and disposals from instruction through to completion
  • Liaise with solicitors, agents, surveyors, and internal stakeholders to ensure transactions progress efficiently
  • Maintain accurate records of all property transactions and ensure documentation is correctly filed and tracked

Project Support

  • Provide administrative and legal support for property-related projects and portfolio initiatives
  • Assist in the collation of due diligence information for new property acquisitions or developments
  • Support the implementation of property-related changes across the estate

Legal & Compliance Support

  • Assist in ensuring property documentation is compliant with relevant legislation and internal governance requirements
  • Support the monitoring of key legal deadlines, including lease renewals, rent reviews, and break clauses
  • Help maintain up-to-date property records and legal databases

Stakeholder Management

  • Act as a point of contact for internal departments and external legal representatives on routine property matters
  • Support communication between legal teams, property managers, and operational teams

Administrative Support

  • Prepare correspondence, reports, and summaries relating to property matters
  • Manage and organise case files, both digital and physical
  • Schedule meetings, prepare agendas, and take minutes where required

Skills and Experience

Essential

  • Previous experience working in the property sector (commercial or residential)
  • Understanding of property transactions, leases, and related legal documentation
  • Strong organisational and administrative skills
  • Excellent attention to detail
  • Ability to manage multiple tasks and deadlines
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Desirable

  • Experience working within a legal environment or supporting legal professionals
  • Familiarity with commercial property portfolios
  • Knowledge of property law processes and terminology
