Full job description

The Senior Administrator provides operational leadership and oversight of administrative systems, ensuring the provision operates safely, efficiently and in full compliance with safeguarding, data protection and organisational requirements. The role leads key administration functions, works with key Central Services functions, and line‑manages the administration team to ensure consistent standards and high‑quality delivery. The Senior Administrator contributes to Inclusion Education’s commitment to placing wellbeing and mental health at the heart of education (“The Inclusion Way”) by creating calm, reliable and well‑organised operational environments.

Safeguarding & Compliance

  • Leads safeguarding admin processes
  • Oversees record‑keeping quality, including SAR oversight
  • Ensures full policy and compliance implementation

Communications & Services

  • Leads local comms, including scheduling and internal updates
  • Liaises with Central Services (Ops, Estates, Procurement, Comms)

MIS, Data & Systems Administration

  • Supported by the MIS Manager
  • Produces reports and checks data accuracy - including the ILR completion
  • Sets local data standards
  • Produces and quality‑checks management reports

Operational Administration & Logistics

  • Acts as Exams Officer
  • Oversees logistics: minibuses, rooming, maintenance calendars
  • Leads operational workflows and quality

Wider Provision Contribution

  • Leads full annual events cycle: parents’ evenings, reports, exams, leavers’ celebrations
  • Oversees provision calendar

Professional Collaboration & Communication

  • Line‑manages admin team
  • Acts as local operational liaison with Central Services
  • Supports SLT and contributes to local planning
  • Provides operational leadership and oversight

The successful candidate may be required to work across provisions, ensuring consistent standards and service.

Essential

  • GCSE level (Minimum Grades C / 4 or above including English & Maths) or equivalent NVQ Level 2/3.
  • The ability to lead, operate, maintain and develop the administrative procedures and systems of the school.
  • The ability to coach and develop admin colleagues
  • Excellent communication and interpersonal skills, with a flexible and friendly, adaptable and professional manner with staff, students and families.
  • Excellent stakeholder management
  • Knowledge of MIS systems, handling and presenting data, coordinating operational tasks (transport, exams, cover, procurement).
  • Understanding of safeguarding, GDPR, and confidentiality in a school environment and how to manage sensitive data (eg SARs, complaints, HR-related data)
  • Substantial experience in an administrative role, preferably within an educational or public sector setting.
