16 to 18 HOURS PER WEEK

We are looking for a Receptionist to join our friendly and supportive team.

The Receptionist's role within the team is interesting and rewarding giving you the opportunity to be involved in providing high quality care to patients in the Dunbar and surrounding area.

No previous NHS experience is essential as full training will be provided.

Applicants do require excellent interpersonal skills along with good verbal, written and IT communication skills.

You will be expected to work agreed hours flexibly, between 8:00am and 6:00pm, Monday to Friday.

Job Purpose

To ensure that patient enquiries are dealt with courteously and efficiently and are handled to the Practice and patients’ mutual satisfaction. Ensuring filing, record-keeping and distribution of documents is undertaken efficiently and promptly and that the Practice procedures and systems are effectively carried out and adhered to.

Practice Details

The Practice has approximately 4,680 registered patients. The Practice has 4 GP Partners, 1 Salaried GP, 1 Practice Manager, 1 Practice Nurse, 1 Health Care Assistant, 1 Reception Manager, 1 Workflow Lead, 2 Receptionists (Medical), 2 Receptionists.

We are a GP training practice so we may have extra doctors who are training to be GPs and medical students.

Key Responsibilities & Accountabilities

Reception Desk

1. Receiving and directing patients on arrival.

2. Arranging appointments with suitable health professionals and allocating appropriate time.

3. Answering general enquiries.

4. Receiving and processing requests for repeat prescriptions.

5. Providing information to patients including test results with clinician approval.

6. Scanning information into medical records.

7. Recording home visit requests and telephone appointment requests.

8. Booking, cancelling, and rescheduling GP, Practice Nurse, or HCA appointments.

9. Liaise between patients and clinicians.

10. Log any incidents and accidents that may occur.

11. Respond to the day-to-day issues that may arise within the surgery and resolve problems wherever possible.

12. Ensure patient records are kept up to date and accurate.

13. Undertake tasks allocated by the management team which may include building security checks.

14. Provide holiday cover within the team.

15. Handle any fee charges applicable to patients.

16. Processing medical fees for insurance claims and employers.

17. Issue Subject Access Request information as requested by patients, insurers etc ensuring all necessary checks have been completed under GDPR rules.

18. Report any operational problems.

19. Adhere to confidentiality policy.

20. Promote Practice services.

21. Provide typing assistance to GP’s and Locum GP’s.

Medical Records

  • Maintain patient records.
  • Clinical coding in patients’ computer records.
  • Registering new and temporary patients.
  • Electronic referrals.
  • Transferring medical records as necessary using paper files or GP2GP software.
  • Typing of letters.

Equipment

1. Use of computers and printers for clinical systems.

2. Telephones

3. Photocopier.

Systems

1. Vision clinical system, including Consultation Manager, Mail Manager, Appointments and Registration.

2. Docman.

3. SCI Gateway

4. Microsoft Office Outlook, Word, Publisher, Excel & Teams.

Meetings

1. Full Team Meetings.

2. Admin Interim Meetings.

Training

Attend all necessary practical and online training sessions as deemed appropriate and suitable for the post holder.

  • Attend practical resuscitation training as clinical necessary.
  • Complete all necessary health & safety online training.

A flexible attitude to working hours required, to assist with holiday cover, to ensure the practice reception is covered 8am to 6pm Monday to Friday.
