Full job description

The rTMS Centre is a specialist neuroscience and brain stimulation clinic based in Marylebone, London. We are looking for a highly organised, confident and personable Patient Liaison & Clinic Coordinator to support the day-to-day running of the clinic and provide an exceptional experience for both prospective and existing patients.

This is a patient-facing role with a strong focus on communication, enquiry management, follow-up and clinic coordination. You will often be the first point of contact for people considering treatment, so professionalism, empathy, responsiveness and confidence are essential.

Key Responsibilities

  • Respond promptly and professionally to new patient enquiries by telephone, email and messaging platforms.
  • Speak with prospective patients to understand their needs and explain the clinic's consultation, assessment and treatment process.
  • Book consultations, assessments and treatment appointments.
  • Follow up prospective patients who have made an enquiry or attended a consultation but have not yet decided whether to proceed.
  • Maintain consistent communication throughout the patient journey.
  • Coordinate treatment schedules and ensure appointments run smoothly.
  • Manage patient documentation, questionnaires, consent forms and other administrative requirements.
  • Maintain accurate and up-to-date patient and enquiry records within the clinic's CRM system.
  • Monitor outstanding enquiries and ensure that potential patients are not unintentionally lost through lack of follow-up.
  • Liaise closely with the clinic's neuroscientist and treatment team regarding appointments and patient requirements.
  • Handle general clinic telephone calls, emails and administrative enquiries.
  • Assist with maintaining an organised, professional and welcoming clinic environment.
  • Support patients throughout their treatment programme and help ensure they receive a consistently high standard of service.

The Person We Are Looking For

We are looking for someone who is naturally proactive, organised and an excellent communicator.

You should be comfortable speaking with people who may be considering a significant healthcare decision and be able to communicate with warmth, professionalism and confidence.

The ideal candidate will:

  • Have excellent spoken and written English.
  • Be highly responsive and reliable.
  • Have strong organisational and time-management skills.
  • Be confident speaking with patients and prospective patients by telephone.
  • Have a professional and personable communication style.
  • Be comfortable discussing treatment costs and responding appropriately when prospective patients are unsure about proceeding.
  • Understand the importance of appropriate follow-up without using high-pressure sales techniques.
  • Be able to prioritise effectively when several patients or enquiries require attention at the same time.
  • Demonstrate discretion when handling confidential information.
  • Be comfortable working independently and taking initiative rather than waiting for instructions.
  • Have good general IT and administrative skills.

Experience

Previous experience within a private healthcare, mental health, medical or similar patient-facing environment would be highly advantageous.

Experience in one or more of the following would also be beneficial:

  • Patient coordination
  • Private healthcare administration
  • Patient liaison
  • Clinic reception
  • Healthcare sales or enquiry conversion
  • Customer relationship management
  • CRM systems
  • Appointment and diary management

While relevant experience is valuable, we are particularly interested in candidates who demonstrate the right communication style, initiative, professionalism and ability to build trust with patients.

About the Role

This is more than a traditional reception or administrative position.

The Patient Liaison & Clinic Coordinator will play an important role in ensuring that every person who contacts The rTMS Centre receives a professional, responsive and supportive experience — from their initial enquiry through to consultation, treatment and follow-up.

You will therefore have a direct impact on both the patient experience and the continued growth of the clinic.

Pay: From £13.00 per hour
