Executive Assistant | BTCC (London Office)

Location: London (E1)
Contract Type: Temp to Perm, Full-Time

As we continue to expand internationally, we are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative and personal support to our CEO in London. This role requires exceptional professionalism, discretion, and strong multitasking ability within a fast-paced, international environment.

Key Responsibilities

1. Executive and Administrative Support

  • Provide high-level administrative support to the CEO, including managing complex calendars, scheduling appointments, and ensuring effective time prioritisation.
  • Prepare, edit, and organise documents, reports, and presentations using Microsoft Office and Google Workspace.
  • Draft agendas, take meeting minutes, and track follow-up actions to ensure timely completion.
  • Maintain professional correspondence, handle calls, and manage email communications efficiently and confidentially.
  • Coordinate with internal teams and external partners to facilitate seamless communication and project alignment.

2. Travel and Event Coordination

  • Plan and manage domestic and international travel arrangements, including visas, flights, hotels, transportation, and detailed itineraries.
  • Organise corporate events, offsites, business dinners, and client meetings with a high level of accuracy and attention to detail.
  • Prepare and process travel expense reports and related documentation promptly.

3. Personal Assistance

  • Support the CEO's’ personal and logistical needs in London, such as scheduling personal appointments, managing property or household matters, and liaising with local service providers.
  • Assist with personal errands and family arrangements when required, ensuring discretion and reliability at all times.
  • Act as a trusted point of contact for sensitive or confidential matters, maintaining the highest professional standards.

4. General Administrative Duties

  • Perform clerical and data management tasks including filing, record keeping, and document organisation.
  • Maintain organised digital and physical filing systems for both business and personal matters.
  • Provide additional administrative support as required to facilitate smooth executive operations.

Requirements and Qualifications

  • Currently based in London (or with established roots in the city) and fully eligible to work in the UK.
  • 5+ years’ experience supporting C-suite or senior executives in a multinational, fast-paced, or high-growth environment.
  • Proven ability to manage complex calendars, logistics, and confidential information with professionalism and precision.
  • Exceptional organisational and time management skills with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Excellent communication and interpersonal skills, with strong discretion and sound judgment.
  • Demonstrated ability to work across cultures and coordinate with international teams.
  • Proactive, adaptable, and resourceful, with the ability to anticipate needs and work independently under pressure.
