We are a modern, private physiotherapy clinic based in Parsons Green, London, with a friendly, hardworking and supportive team. We pride ourselves on delivering exceptional, evidence-based care in a welcoming, community-focused environment where both our patients and our staff feel valued.

As our clinic continues to grow, we are looking for an experienced Practice Manager to lead our daily operations, support our team, and help drive the continued success of the business.

The Role

This is a hands-on leadership role responsible for the smooth and efficient running of the practice. You will oversee the day-to-day operations of the clinic, lead and develop our reception and administrative teams, ensure exceptional patient service, maintain high standards of compliance, and work closely with the Directors to achieve the clinic's operational and commercial goals.

Key Responsibilities

Operational Management

  • Oversee the day-to-day running of the clinic, ensuring efficient and effective operations.
  • Manage clinic capacity, appointment scheduling, and resource planning.
  • Continuously improve operational processes and patient pathways.
  • Resolve operational issues quickly and effectively.

Team Leadership

  • Lead, motivate, and support the reception and administrative teams.
  • Recruit, induct, train, and develop team members.
  • Conduct regular performance reviews and provide coaching where needed.
  • Foster a positive, collaborative, and high-performing workplace culture.

Patient Experience

  • Ensure every patient receives a professional, friendly, and seamless experience.
  • Handle patient feedback, concerns, and complaints with professionalism.
  • Drive patient retention through exceptional customer service.

Financial & Insurance Management

  • Oversee private medical insurance (PMI) billing, invoicing, and account management.
  • Liaise with insurers to ensure timely authorisations and payments.
  • Monitor outstanding accounts and maintain accurate financial records.
  • Support the Directors with financial reporting, KPIs, and business performance.

Compliance & Governance

  • Ensure compliance with all relevant healthcare regulations and company policies.
  • Maintain accurate practice documentation and records.
  • Oversee GDPR compliance, safeguarding, health and safety, and infection prevention procedures.
  • Prepare for audits and maintain high operational standards.

Business Development

  • Identify opportunities to improve efficiency and profitability.
  • Support marketing initiatives and patient growth strategies.
  • Monitor key performance indicators and contribute to achieving business objectives.

About You

You are an experienced healthcare manager who combines excellent organisational skills with strong leadership abilities. You enjoy building positive relationships with patients and colleagues and are confident managing multiple priorities while maintaining exceptional standards.

Essential Requirements

  • Previous experience managing or supervising a team within a private healthcare environment (physiotherapy, private GP, dental, or similar).
  • Experience with private medical insurance (PMI) billing and insurer liaison.
  • Strong operational and administrative management experience.
  • Excellent leadership and people management skills.
  • Outstanding communication and interpersonal skills.
  • Highly organised with exceptional attention to detail.
  • Strong IT skills and confidence using practice management software.
  • Ability to work independently, solve problems, and make informed decisions.

Desirable

  • Experience managing business performance and KPIs.
  • Experience supporting recruitment and staff development.
  • Knowledge of CQC requirements and healthcare compliance.
  • Experience implementing process improvements.
  • Previous experience within physiotherapy or musculoskeletal healthcare.
