Probate Case Team Manager- Applications

Fulltime | Permanent | Maidenhead (Hybrid, 3 days office) | £50,000–£75,000

Join Dignity’s mission to transform the probate experience

Dignity Legal Services is building one of the UK’s most modern, compassionate and efficient probate operations. Over the last year, we’ve grown from a team of 2 to 32 and we’re only just getting started.

We’re creating a category‑defining probate service: one that delivers a better, clearer and faster experience for families, supported by strong legal expertise and the operational discipline of a modern tech‑enabled business.

This is a rare opportunity to join at a pivotal moment not as a passenger, but as someone who will shape how we scale.

Why this role matters

The Probate Case Applications Team is one of three specialist operational teams at the heart of our service. It owns the critical stage that unlocks a family’s ability to administer an estate: preparing and submitting the probate application.

As Probate Case Team Manager- Applications, you will lead this team and take full ownership of the journey from receiving complete estate accounts through to securing the Grant of Probate. This is a new role, created to support our next phase of growth as we move from end‑to‑end case ownership to specialist, high‑performing pods.

You’ll lead a team of Junior Case Managers and Apprentices, deliver against a 30‑day SLA, and ensure applications are accurate, compliant and submitted without delay. You’ll also build the systems, processes and quality controls that will allow us to scale to thousands of cases.

If you’re motivated by building something new, improving legal processes, and making a meaningful difference for families, this role is for you.

What you’ll be doing

  • Leading and developing the Probate Case Application Team, ensuring high performance and progression
  • Owning delivery against the 30‑day application SLA and monitoring performance metrics
  • Signing off high volumes of probate applications, ensuring compliance with legal and registry requirements
  • Designing and continuously improving the application process, removing bottlenecks and reducing errors
  • Managing handovers between Onboarding and Estate Administration to ensure a seamless customer journey
  • Building and maintaining data systems to track progress, registry response times and rejection rates
  • Working with product and technology teams to automate manual steps and improve online submissions
  • Coaching and developing team members, including creating opportunities for rotation across the probate journey
  • Reporting on performance, quality and registry trends to senior leadership

Who we’re looking for

You are a qualified lawyer with extensive experience preparing and submitting probate applications, particularly through the online probate service.

You bring:

  • Deep knowledge of the Grant of Probate process, HMRC requirements and common registry queries
  • Confidence signing off high volumes of applications with exceptional attention to detail
  • A passion for quality, efficiency and getting things right first time
  • Experience leading and developing teams in a legal or operational environment
  • The ability to build processes, structure and clarity in a fast‑growing organisation
  • Strong communication skills, able to translate legal requirements for non‑lawyers and collaborate across teams

Most importantly, you’re driven by impact. You want to look back and say, “I built that.”

What We Offer

  • Annual salary of up to £75,000 depending on experience
  • 25 Days Holiday + Bank Holidays
  • X2 Life Assurance, Pension Scheme
  • Hybrid flexible working (3 days in our Maidenhead office)
  • Genuine career progression and mentorship opportunities
  • A chance to make a meaningful contribution to people's lives and deaths

It's inevitable that all of us are going to deal with death at some time in our lives. It’s a fundamental, tragic part of what it is to be human. But the services that should be supporting us haven’t changed in decades. From writing your will to planning a funeral or organising probate, the way we deal with death can be complicated and expensive. Instead of feeling supported, people feel lost.

But it doesn’t need to be this way. We started Farewill to make the experience warmer, brighter, and friendlier. Now we’re the UK’s top rated probate provider and help our customers pledge over £300 million to charities through gifts left in their wills.

This role is working in an SRA regulated legal practice to provide probate and estate administration services.

About Us

We are Dignity, one of the UK’s oldest and most trusted funeral providers, with over 200 years of history, 570 branches, and 46 crematoria. From launching the UK’s first funeral plan to helping shape modern regulation, we have led the way in supporting families with care, compassion, and professionalism.

Now we are building the UK’s leading end of life company. As part of the Dignity Group, we also operate Farewill, the country’s largest will writer and one of the UK’s top probate providers, giving families support not just at the funeral, but before and after as well.

Today, we are over 4,000 people across the UK, all driven by the same goal: to care for families with compassion and make the UK a world leader in end-of-life care. Here to help, whenever you need.
