Thank you for your interest in our Clinical Coder vacancy.
We are a small GP practice providing care to approximately 6,400 patients living in Robertsbridge, Battle and the surrounding areas. We are based across two sites: Oldwood Surgery, Station Road, Robertsbridge, and Battle Health Centre, Mitre Way, Battle. Quality, integrated care and patient wellbeing are at the heart of everything we do. We are looking for team members who share these values and are committed to helping us deliver high-quality services to our patients.
Currently our GPs do our clinical coding & we are looking to move this work to our admin team as a one off project. We welcome applications from any candidates that feel they have the Clinical Coding experience & skills to help with the project. You will be required to review our current processes & come up with proposals & then write protocols to implement Clinical Coding safely & effectively, including training the admin team.
We are planning to use our ARRS funding for the project and for this reason, the contract is initially for 6 months, with the potential for it to be extended or made permanent depending upon business need. Pay will be based upon your experience. You may be an experienced Clinical Coder looking for something new to do; or a team manager who has implemented Clinical Coding in another GP Surgery. Hours are to be agreed depending upon your availability e.g. you could join us for your main job & do the clinical coding as part of the implementation; or you could work additional hours for us alongside your other job & focus on training other people to do the coding. Job Duties
- Review and accurately code clinical information from patient records, correspondence, consultation notes, hospital letters and investigation results.
- Apply appropriate clinical coding standards, including SNOMED CT, Read codes and other relevant coding requirements.
- Ensure diagnoses, procedures, investigations and other clinically relevant information are coded accurately and consistently.
- Review hospital discharge summaries, outpatient letters and other clinical correspondence, identifying relevant diagnoses and actions requiring coding.
- Update patient records promptly following clinical activity and ensure information is recorded in the correct areas of the clinical system.
- Identify missing, unclear or inconsistent clinical information and liaise with GPs and other clinical staff where clarification is required.
- Support the practice with accurate recording of chronic disease diagnoses, long-term conditions and other conditions relevant to patient care.
- Assist with the identification and coding of newly diagnosed conditions and ensure relevant patient registers are kept up to date.
- Support QOF, enhanced services, IIF and other practice reporting requirements by ensuring clinical information is accurately coded and recorded.
- Run searches and undertake data quality checks to identify missing, duplicate, inaccurate or inconsistent coding.
- Assist with maintaining accurate disease registers and recall systems.
- Ensure coding is completed in accordance with practice policies, NHS requirements and relevant information governance and confidentiality standards.
- Maintain a good understanding of changes to clinical coding requirements, terminology and relevant NHS reporting requirements.
- Work closely with GPs, practice nurses, administrative staff and the practice management team to improve the quality and completeness of clinical records.
- Handle patient information sensitively and maintain strict confidentiality at all times.
- Contribute to clinical audit, data quality projects and other initiatives aimed at improving the accuracy and completeness of practice records.
- Provide support with searches, audits and data reports when required by the practice.
- Escalate any significant discrepancies, concerns or potential patient-safety issues identified during the coding process to the appropriate clinician or practice manager.
- Undertake any other reasonable duties appropriate to the role and needs of the practice.
The Clinical Coder is responsible for ensuring that patient information is accurately, consistently and appropriately coded, supporting high-quality patient records, clinical care, practice reporting and NHS contractual requirements

Holiday is 5 weeks per year plus pro rata bank holidays, and you have the option to join the generous NHS pension scheme.

All staff need to be able to work in both Robertsbridge and Battle and are required to cover holiday and absences across both locations.
The Government requires all GP surgeries to be open until 8pm and on Saturdays and Sundays. This is currently covered by other members of the team and through outsourcing at the weekends, but you may be required to help on a rota basis to cover absences.
Please note that if you are a patient at the practice and are successful in being appointed, you and your immediate family will need to register with another GP surgery in line with best practice.
You will be required to complete a DBS Criminal Record check and other pre-employment checks before starting in post.
