The Harley Street ENT Clinic is London's most prominent Ear, Nose and Throat Clinic, providing an One-Stop-Shop model service. Situated in London's prestigious medical district in Harley Street, the Clinic opened its doors in 2004 and has seen an exponential growth over the years. Four of the UK’s top ear, nose and throat surgeons consult at the Harley Street ENT Clinic. Each weekday during working hours, there is at least one ENT specialist present in clinic allowing same day appointments to patients who need to see a consultant urgently. Our medical team includes some of the most well respected therapists, highly qualified audiologists and scientists and caring ENT practice nurses, co-ordinated by a very experienced Clinical Services Manager. They are supported by a fully trained and extremely capable administrative team. The clinic is led by an experienced Senior Leadership Team including an Office Manager, Director of Operations and Medical Director.

Job description

The Harley Street ENT Clinic is seeking an experienced Medical Personal Assistant to join their experienced and friendly team. Situated in the heart of Harley Street this is a very exciting role for an experienced Medical PA wishing to expand their knowledge and support a team of world class consultants.

Role purpose

Reporting to the Director of Operations, the post-holder will join the team that provides high quality and wide-ranging secretarial and organisational support service to a number of world class consultants and exceptional therapists. The role will undoubtedly have access to a range of confidential and privileged information relating to the medical team, the organisation and its relationships. As such the role requires a high degree of discretion and trust and the post-holder must demonstrate desired behaviours in line with organisational values to others within the clinic and externally at all times.

Key Responsibilities

Administrative:
Produce correspondence and reports using Microsoft Office Suite and Heydoc Clinical Software: draft correspondence, reports and letters. Create, manage and update documents and electronic filing system for the medical team. Printing, photocopying, scanning and filing of paper documents following all necessary IG principles. Update and maintain consultants' holiday and absence records on our patient software. Ensure email communication is effective and discreet between patients and patients are booked in via the telephone in a prompt and professional manner.

Organisational:

Handle incoming and outgoing calls, and direct as appropriate along with day to day diary management. Ensure patient bookings and referrals are on time and ensure that all invoicing and billing is completed promptly and accurately at all times.

Conduct:

Employees are ambassadors for The Harley Street ENT Clinic, each responsible for promoting, maintaining and upholding the reputation of The Harley Street ENT Clinic at all times.

*Starting pay £35k and on successful completion of probation (6months) this increases to £37k*

Hours: 8.00am to 7.00pm rotating shifts, broken down into:-

08:00 - 16:30

09:00 - 17:30

10:30 - 19:00
