Experienced Property Administrator

This is a crucial role as the successful applicant will often be the first point of contact for our tenants and will provide support to the Estate Surveyor and his team.

  • This role is for an enthusiastic person with property and real estate experience.

JOB DESCRIPTION

Position Title: Property Administrator

Reporting to: Estate Surveyor

Date Updated: August 2026

Job Type: Part time – 30 hours week, Monday to Friday (will consider flexible working hours/days)

No weekends

Salary: £22,000 for 30 hours Monday to Friday (£27,000 FTE)

An opening has arisen for a Property Administrator to support an exciting and busy property management team. With a unique and varied workload, the role requires someone proactive and who wishes to make a difference to the team.

JOB PURPOSE

Provide administrative support within the Estate Office for the Estate Surveyor and the Estate Inspector

RESPONSIBILITIES/DUTIES/KEY AREAS

· Provide day-to-day support to the team managing our property portfolios.

· Maintain the property management database with tenancy and compliance data, ensuring compliance issues are kept up to date.

· Maintain records of property sales.

· Act as first point of contact for tenants and contractors for property repairs and maintenance.

· Maintain electronic and paper property files.

· Provide systems support to colleagues.

· Arrange compliance inspections.

· Obtain quotations and arrange contractor visits and works orders for both planned and reactive maintenance and minor works, monitoring their progress.

· Facilitate prompt payments to contractors.

· Maintain the Tenancy Deposit Protection Scheme.

· Accept rent payments and issue receipts, passing monies to finance in a timely manner.

· Deal with customers’ queries.

· Be a First Aider.

· Be a Fire Marshall.

· Open and lock up building when necessary.

· Provide support and cover for Office Administrator.

· Other duties may be assigned as required.

QUALIFICATIONS AND EXPERIENCE REQUIRED FOR THE JOB

Applicants must be able to demonstrate understanding, experience and ability as follows:

· Property Management and sales experience (desirable but not essential).

· Property database management (desirable but not essential).

· Excellent IT skills.

· Experience with Sage or comparable accounting software (desirable but not essential).

· Experience with property management software (desirable but not essential).

· The successful candidate will be expected to complete Agent license training in compliance with Rent Smart Wales for which full training and support will be given.

· Experience in clear communication and organisational skills.

· Working within a team but able to take responsibility and undertake work on own initiative.

· Strong attention to detail.

· Excellent verbal, written and interpersonal communication skills.

· Good analytical skills: numerate and literate.

· First Aid or Fire Marshall experience (desirable but not essential).

PERSONAL QUALITIES REQUIRED FOR THE JOB

· Be accurate and proficient in all tasks with an excellent attention to detail.

· Methodical and organised.
