Halesowen Dental is an established, fully private dental practice committed to providing high-quality dentistry and an exceptional patient experience.

We offer a wide range of general and advanced treatments, including dental implants, clear aligners, cosmetic dentistry, endodontics and sedation, alongside ongoing private and Denplan care.

As the practice continues to grow, we are looking for an experienced, confident and personable Treatment Coordinator (TCO) to join our team.

The Role

As our Treatment Coordinator, you will play a key role in managing the patient journey from initial enquiry through consultation, treatment planning and commencement of treatment.

You will work closely with our dentists, nursing and reception teams to ensure patients feel informed, supported and confident throughout their treatment journey.

This is an ideal role for someone who enjoys building relationships with patients, is highly organised and takes a proactive approach to following up enquiries and treatment plans.

Key Responsibilities

• Managing new patient and treatment enquiries
• Building rapport with patients and understanding their individual needs
• Supporting patients following their clinical consultation
• Explaining treatment plans, fees, payment options and treatment timelines clearly and confidently
• Coordinating the patient journey from initial enquiry through to treatment
• Proactively following up outstanding treatment plans and patient enquiries
• Maintaining accurate records of enquiries, consultations and treatment outcomes
• Working closely with clinicians to coordinate appointments and treatment
• Helping to maintain productive and well-organised clinician diaries
• Supporting patients considering implants, clear aligners, cosmetic and other advanced treatments
• Supporting treatment open days and patient events
• Helping reduce cancellations and failed appointments through effective patient communication
• Gathering patient feedback, reviews and testimonials
• Supporting appropriate patient communication and practice marketing initiatives
• Identifying opportunities to continuously improve the patient experience

About You

We are looking for someone who is warm, confident, organised and proactive, with excellent communication skills and a genuine ability to build relationships with patients.

Ideally, you will have previous experience as a Dental Treatment Coordinator, particularly within a private dental practice.

You should have:

• Previous dental or Treatment Coordinator experience
• A good understanding of dentistry and dental terminology
• Excellent interpersonal and communication skills
• Confidence discussing treatment fees and payment options
• Strong organisational and follow-up skills
• A proactive approach to patient communication
• Excellent telephone and written communication skills
• Good IT skills and confidence using dental practice management systems
• The ability to work effectively with clinicians and the wider practice team
• A strong focus on delivering an exceptional patient experience

Experience coordinating dental implants, clear aligners, cosmetic dentistry or other higher-value treatments would be particularly advantageous.

GDC registration or a dental nursing qualification would be advantageous but is not essential for candidates with strong, relevant TCO experience.

Performance-Related Bonus

In addition to your basic salary, you will have the opportunity to earn a performance-related bonus based on a combination of individual and practice performance.

• Patient experience and feedback
• Effective diary management and utilisation

Our TCO should become a trusted point of contact for patients.

Success means ensuring enquiries are followed up properly, patients understand their treatment options, treatment plans do not get lost through lack of communication, clinicians' diaries are effectively utilised and every patient receives a professional and supportive experience.
