Job Overview
Occupational Administrator

Salary: £26,200 – £28,000 (pro rata for part-time)
Hours: Full-time
Location: Edinburgh at least 3 days per week, hybrid considered for other days

The Role

We are looking for an organised and proactive Occupational Health Clinic Coordinator / Administrator to support the delivery of both off-site and clinic-based clinics. This is a varied role requiring strong attention to detail, efficient task management, and excellent communication skills.

Key Responsibilities

  • Coordinate occupational health clinics, including supporting Service Delivery manager for off-site clinic bookings.
  • Act as a main point of contact for clinicians, managers, and clients in Scotland and liase with the other OH3 clinics.
  • Build strong working relationships with staff and client organisations
  • Arrange mobile clinic logistics, where required
  • Process referrals and clinic arrangements accurately and efficiently
  • Send, monitor, and follow up online form links for onboarding and health questionnaires
  • Booking and monitoring appointments
  • Process OH certificates at the end of the clinics
  • Process and send Approved OH reports following GDPR and consent procedures.
  • Maintain clear task lists and manage workloads productively
  • Support the manager with:
  • Equipment calibration, records, and compliance
  • Timely repairs and servicing
  • Maintain accurate records and systems
  • Assist with invoicing checks and general accounts administration (desirable)
  • Diary Management for Clinical Director

About You

  • Experienced in a medical administrative or coordination role
  • Highly organised with strong attention to detail
  • Confident communicator with a professional, friendly approach
  • Skilled and confident working with Word, Excel, digital systems and online forms
  • Experience in healthcare, preferably occupational health
  • Invoicing/accounts experience is an advantage
  • Good resilience, can-do attitude
