Overview
Are you an experienced, empathetic professional with a proven track record of managing a busy phone line? We are looking for a Patient Services Coordinator to join our friendly and supportive team, helping us deliver outstanding care to patients within a busy GP Practice. This is an excellent opportunity for someone who thrives in a fast-paced healthcare environment and is passionate about delivering high-quality service to patients.

As a key member of our administrative team, you will play an essential role in ensuring the smooth day-to-day running of the practice, supporting both patients and clinical staff. You will ensure patients feel supported from the moment they call, guiding them through the booking process and helping them access the care they need.

Working Hours:
We are looking to fill a part time position of 26 - 33 hours per week. Please note, the position requires a 6:30pm on some days.

Key Responsibilities

  • Handling incoming calls in a polite, confidential and timely manner. Responding to enquiries from patients and healthcare professionals.
  • Managing patient appointments, including booking, rescheduling, and confirmations
  • Maintaining accurate and confidential patient records in line with data protection regulations
  • Processing incoming and outgoing correspondence (email and post)
  • Supporting the wider team by coordinating with clinical and non-clinical staff to ensure an efficient workflow
  • Use our practice management software to identify and recall patients for ongoing reviews

About you

  • Previous experience in an administrative or office-based role is essential
  • Experience within a GP practice and familiarity with EMIS and Docman systems is desirable (full training will be provided)
  • Excellent communication skills, both written and verbal
  • Strong organisational skills with the ability to prioritise and manage multiple tasks
  • A proactive, team-focused approach with the ability to work independently when required
  • A keen eye for detail and a commitment to maintaining confidentiality
  • Keen time management skills are essential in this fast paced environment
  • The ability to stay calm, composed and efficient under pressure
