Job Overview

We are looking for an experienced and confident Clinic Coordinator to join our team and help ensure the smooth day-to-day running of our busy physiotherapy clinic.

This is a hands-on Front of House role with additional team leadership and clinic coordination responsibilities. The successful candidate will be an active member of the reception team, while also supporting colleagues, monitoring standards and helping ensure patients receive an outstanding experience.

Important – Please Read

Approximately 33+ hours of the working week will be spent working on the Front of House desk, undertaking reception and administrative duties as part of the normal rota.

Clinic Coordinator responsibilities will primarily be completed during planned crossover periods when another team member is available to provide Front of House cover.

This role would suit someone who enjoys being patient-facing but is ready to take on additional responsibility for supporting and developing a Front of House team.

Key Responsibilities

· Provide a warm, professional and efficient Front of House service.

· Answer telephone calls and manage patient enquiries.

· Book, cancel and rearrange appointments.

· Process payments and maintain accurate patient records.

· Support the day-to-day organisation of the clinic.

· Provide guidance and support to Front of House colleagues.

· Conduct scheduled team meetings and support staff training.

· Monitor Front of House standards and completion of clinic procedures.

· Provide coaching, feedback and retraining where required.

· Support new-patient enquiry conversion and patient retention.

· Help optimise clinician diaries and fill available appointments.

· Monitor the accuracy of patient and enquiry records.

· Ensure clinic checklists and operational procedures are followed.

· Help maintain high standards of clinic presentation, cleanliness and organisation.

· Identify operational or performance concerns and resolve or escalate these appropriately.

About You

You will ideally have:

· Experience within a busy customer-facing, administrative or healthcare environment.

· Previous experience supervising, supporting or leading colleagues.

· Excellent communication and customer-service skills.

· A professional and confident telephone manner.

· Strong organisational skills and excellent attention to detail.

· Confidence providing feedback and guidance to colleagues.

· The ability to prioritise effectively in a busy environment.

· A proactive approach to problem-solving.

· Confidence using Microsoft Office and administrative systems.

· The ability to work independently while recognising when management support is required.

Experience within physiotherapy, private healthcare or another medical environment would be an advantage but is not essential.
