Patient Engagement Coordinator

Multi-Site · Full Time · Essex

Location: Heybridge · West Square · Corringham | £27,000–£31,000 | 5 days/week

We're a growing NHS and private dental group with three practices in Essex, and we're looking for a switched-on, patient-focused coordinator to join our team. This is a new role built around turning missed opportunities into booked appointments — and helping our front-of-house teams get better at doing the same.

The Role

You'll work across all three sites, using VoiceStack call data to identify where patients are falling through the cracks — then following up, re-engaging, and booking them in with the right person. You'll also support our reception teams through structured feedback and hands-on coaching, and produce clear weekly reporting for practice managers.

What You'll Do

  • Analyse VoiceStack call data across all three sites to identify missed calls, incomplete bookings, and lost new patient enquiries
  • Make proactive outbound calls and send follow-up messages to re-engage patients and convert interest into booked appointments
  • Triage new patient enquiries and book them with the right clinician based on treatment need and availability
  • Produce clear weekly feedback summaries for each Practice Manager covering call handling performance and patterns
  • Deliver structured receptionist coaching — including regular site visits — covering call technique, conversion language, and patient experience
  • Work alongside our Treatment Coordinator (TCO) to hand off warm patients requiring a consultation or finance discussion
  • Track and report monthly on new patient numbers, missed opportunity recovery rates, and conversion performance
  • Support consistent call standards and booking protocols across the group

What We're Looking For

  • Preferred prior experience in dental reception, patient coordination, or treatment coordination — you must understand how a dental practice works
  • Confident and natural on the phone with patients — this role involves regular outbound contact and you need to be good at it
  • Familiarity with call tracking or practice management software (VoiceStack, CareStack, Dentally, SOE or similar)
  • Comfortable analysing call logs and performance data, and turning them into a useful summary without being told how
  • Organised and self-directed — you'll manage your own time across three sites and produce weekly reports without being chased
  • Tactful and constructive when feeding back to colleagues — this is about raising standards, not catching people out
  • Bonus: prior TCO or treatment coordinator experience is a strong advantage
