We have an exciting opportunity for a Clinical Services Administrator to join our small, friendly and dedicated team. This is an excellent opportunity to play a key role in supporting patients and healthcare professionals while building your career within an innovative and rapidly growing medical device manufacturer.

PolyPhotonix is a well-established and growing business specialising in bio-photonic research and development, designing, developing and manufacturing non-invasive, photonics-based medical devices.

The company has developed Noctura 400, a light-based, monitored ophthalmic treatment for Diabetic Retinopathy (DR) and Diabetic Macular Oedema (DMO) — two of the leading causes of blindness.

This permanent, full-time role is ideally suited to a team player with a background in customer service and general administration within a healthcare environment, along with a good working knowledge of Microsoft packages, particularly Excel.

The role calls for a proactive individual who can manage multiple tasks efficiently while maintaining a high standard of professionalism. Experience in patient care and/or medical terminology is desirable but not essential.

This role offers considerable scope for development for the right candidate.

Due to the nature of the role, this position is office-based in Sedgefield, County Durham.

The working hours are Monday to Thursday, 9:00am–5:30pm, and Friday, 9:00am–5:00pm (37 hours per week).

Key Responsibilities

  • Communicate professionally and effectively by email and telephone, ensuring enquiries are dealt with in a timely manner.
  • Answer the enquiries phone line in a friendly and professional manner, directing calls to the relevant team member within agreed timescales.
  • Monitor central mailboxes, responding professionally or directing enquiries to the relevant team member within agreed timescales.
  • Assist with clerical duties such as filing, photocopying, printing and scanning documents.
  • Work as an integral member of the Clinical Services team to ensure a high level of customer service throughout the entire order and supply process.
  • Perform data entry and maintain accurate records in both digital and physical formats.

Essential Skills and Experience

  • High level of attention to detail.
  • Proven experience as an administrator or similar role.
  • Strong written and spoken communication skills.
  • Professional telephone manner.
  • Ability to work independently and as part of a team.
  • Enjoy working collaboratively and sharing information with colleagues.
  • Proficient in Microsoft Office packages (Word, PowerPoint and Excel) to at least intermediate level.
  • Self-starter with a flexible and positive approach.
  • Strong organisational skills with the ability to manage multiple priorities.

Desirable Skills and Experience

  • Experience working within a healthcare environment.
  • Experience providing patient support.
