About the Role

We are looking for an organised, professional, and customer-focused Receptionist to join our friendly accountancy practice. As the first point of contact for our clients, visitors, and telephone enquiries, you will play a key role in creating a welcoming and professional experience while supporting the efficient day-to-day running of the practice. You will also provide general administrative support to the directors and wider team, helping to ensure the office operates smoothly and efficiently.

The successful candidate will have excellent organisational and communication skills, strong attention to detail, and the ability to prioritise workloads effectively. A commitment to maintaining confidentiality and delivering exceptional standard of client service at all times.

Key Responsibilities

  • Manage the reception area, ensuring it remains professional, welcoming, and well organised.
  • Answer and direct incoming telephone calls promptly and professionally.
  • Welcome clients and visitors, ensuring they receive a positive first impression.
  • Respond to client enquiries efficiently and courteously.
  • Manage incoming emails and schedule appointments as required.
  • Provide administrative and secretarial support to the directors and wider team.
  • Scan, photocopy, file, and prepare documents.
  • Maintain accurate client records and assist with client Onboarding.
  • Prepare and process Anti-Money Laundering (AML) documentation.
  • Monitor key deadlines and assist with filing documents with HMRC and Companies House.
  • Receive, sort, and distribute incoming post and prepare outgoing mail.
  • Handle confidential client information securely and in accordance with company procedures.
  • Prepare refreshments for clients and visitors attending meetings.
  • Manage petty cash in line with office procedures.
  • Order and maintain office stationery and supplies.
  • Provide general office support and undertake other administrative duties as required.

  • Excellent organisational and administrative skills.
  • A professional, friendly, and approachable manner.
  • Strong communication and customer service skills.
  • Good working knowledge of Microsoft Office, including Outlook, Word, and Excel.
  • Excellent attention to detail and a high level of accuracy.
  • The ability to prioritise workloads and work both independently and as part of a team.
  • Previous experience in a receptionist, office administration, or professional services role.
  • Experience within an accountancy practice would be advantageous.
