Job Summary

Mulberry House Clinic is seeking a polished, warm and highly organised Clinic Concierge & Front of House Coordinator to support the patient experience and day-to-day running of our medically-led aesthetic clinic.

This is not a standard receptionist role. We are looking for someone who understands high-quality service, discretion and thoughtful client care. The successful candidate will be the first point of contact for our patients, helping to create a calm, professional and welcoming clinic experience from the moment they make an enquiry through to their appointment and follow-up.

This role would suit someone with experience in a refined, client-facing environment such as a private clinic, premium spa, boutique hotel, private medical or dental practice, luxury retail, members’ club or high-end hospitality setting.

Responsibilities

  • Welcome patients in a warm, professional and polished manner
  • Create a calm, discreet and reassuring front-of-house experience
  • Manage patient appointments, including scheduling, rescheduling and confirming bookings
  • Answer phone calls and respond to email enquiries with care and accuracy
  • Support patients before, during and after their appointments
  • Take payments and deposits
  • Maintain accurate patient records and handle confidential information appropriately
  • Liaise with practitioners and the Practice Manager to support smooth clinic flow
  • Support skincare and product enquiries
  • Ensure the reception and waiting areas remain tidy, organised and welcoming
  • Assist with general administration and day-to-day clinic coordination

Requirements

  • Experience in a client-facing role where service, presentation and professionalism matter
  • Warm, confident and professional communication skills
  • Excellent organisational skills and strong attention to detail
  • Ability to remain calm, composed and discreet under pressure
  • A naturally helpful and proactive approach
  • Emotional intelligence and the ability to understand different patient needs
  • Comfortable using email, booking systems and basic office software
  • Previous experience in private healthcare, aesthetics, dental, luxury hospitality, premium retail, spa or a similar environment would be highly relevant

Working Hours

We are considering either:

Wednesday, Thursday and Friday — 10:00am to 6:00pm

or

Tuesday to Friday — 9:30am to 6:00pm

There may be some flexibility for the right candidate.

Pay

£14–£16 per hour, depending on experience

We are looking for someone who will help us look after patients beautifully and ensure the clinic feels calm, organised and professionally run.

Pay: £14.00-£16.00 per hour
