About the Role

The Purple House Clinic Leicester is part of a UK-wide network of private mental health and neurodiversity clinics. This is an exciting opportunity to join Purple House Clinic in a junior/trainee sales role which involves managing client referrals, allocating cases to suitable clinicians, and ensuring clients remain engaged positively with our service throughout their client journey. The post is ideally suited to someone at a stage of their career where they are interested in developing sales, relationship-building and service coordination skills within a values-led healthcare organisation. Purple House Clinic is an established UK-wide provider of private mental health and neurodiversity services, with 7 clinics across the UK and a growing online service. The role will be based at our Leicestershire clinic / head office in Woodhouse Eaves and will support both local and UK-wide (online) services.

Clinical services are delivered by Psychologists and other mental health professionals. The post-holder will act as a first point of contact for enquiries and referrals, supporting potential clients and referrers to understand our services, guiding them through next steps, and converting enquiries into appropriate bookings where suitable. Alongside this, the role includes core administrative duties and support with clinician onboarding.

This role is development-focused. Full training and close supervision will be provided, with the aim of building confidence and competence in client communication, referral management, and ethical service promotion within a healthcare setting.

The working environment is calm, quiet and professional, based in attractive premises. The successful applicant will benefit from regular contact with the wider head office team and close support from an experienced manager.

JOB DESCRIPTION

Job Summary

To support the smooth running and growth of the Purple House Clinic Leicester by managing referrals, engaging with prospective clients and referrers, and providing administrative support. The post-holder will develop skills in client engagement, service explanation and relationship management, alongside healthcare administration.

Duties and Responsibilities

(including but not limited to)

  • Act as a first point of contact for enquiries from prospective clients and referrers (e.g. individuals, parents, schools, local authorities, solicitors), via telephone and email.
  • Gather referral information sensitively and accurately, listening carefully to needs and explaining relevant services, pathways and fees in a clear and supportive manner.
  • Proactively follow up enquiries and referrals to support informed decision-making and maximise appropriate conversion into booked appointments.
  • Develop effective working relationships with referrers and clients, providing a professional, warm and responsive experience that reflects Purple House values.
  • Liaise with Clinicians to establish availability and suitability for new referrals, using electronic diary systems to book and confirm appointments.
  • Manage existing cases, including monitoring report timescales and funding arrangements.
  • Support invoicing, payments and basic financial administration.
  • Assist in the recruitment and onboarding of new clinicians, including arranging meetings, processing applications, references, DBS and ID checks.
  • Meet and greet clients and visiting clinicians and support the day-to-day running of the clinic.
  • Undertake general administrative duties such as correspondence, filing, data entry, document formatting and proof-reading.
  • Adhere to all company policies and procedures, including data protection, confidentiality and safeguarding.
  • Contribute to the induction of new or less experienced staff where required.
  • Maintain the security of sensitive, personal and confidential information at all times.

Training and Development

The successful candidate will receive:

Qualifications

  • Educated to A level or equivalent (essential)

Experience

  • Experience in a customer-facing, administrative, sales, retail, hospitality or service role (desirable)

  • Experience handling sensitive or confidential information (desirable)

Skills

  • Confident and professional telephone manner
  • Ability to explain services clearly and respond to questions or concerns
  • Strong interpersonal and communication skills
  • Good IT skills, including word processing and databases (training provided as needed)
  • Ability to organise, prioritise and follow up tasks effectively
