Experienced Medical Receptionist / Administrator

Private GP Practice – Part-time

Location: Edinburgh City Centre
Contract: Permanent, subject to successful completion of a probationary period.
Hours: 16 hours per week, arranged over either two full days or four shorter days
Salary: £15 - £18.50 per hour, depending on relevant experience

The Role

We are seeking a highly experienced, friendly and dependable Medical Receptionist/Administrator to join our practice.

This is a varied front-of-house and administrative position. You will be the first point of contact for patients and will play an important role in ensuring that appointments, prescription requests and patient enquiries are handled promptly, accurately and professionally.

Because we are a small practice, reliable attendance, punctuality and commitment to agreed working hours are essential. Each member of the team has a direct impact on our patients’ ability to access appointments, medication and ongoing care.

Key Responsibilities

  • Providing a warm, calm and professional reception service
  • Answering telephone calls and responding to patient enquiries
  • Scheduling, changing and confirming appointments
  • Handling prescription and medication requests in accordance with practice procedures
  • Managing incoming and outgoing emails
  • Processing payments and assisting with basic accounts administration
  • Filing, scanning and accurately maintaining medical documentation
  • Handling sensitive patient information with complete confidentiality
  • Liaising with clinicians and other healthcare providers
  • Supporting the general administration and smooth running of the practice

About You

Essential requirements

  • A minimum of five years’ medical reception experience, preferably within a GP practice or similar healthcare setting
  • An excellent record of dependability, punctuality and professional responsibility
  • A warm, confident and reassuring manner with patients
  • Excellent verbal and written communication skills
  • Strong organisational skills and close attention to detail
  • The ability to prioritise competing tasks and remain calm under pressure
  • Confidence working independently and using sound judgement
  • Strong general IT and administrative skills
  • A discreet, trustworthy and professional approach to confidential information
  • A proactive, flexible and genuinely helpful attitude

Desirable experience

  • Experience within a private GP practice
  • Familiarity with medical terminology
  • Experience using clinical or practice-management software
  • Experience processing prescription requests
  • Experience handling payments and basic financial administration

Working Hours

The role is for 16 hours per week and may be arranged as either:

  • Two full working days; or
  • Four shorter working days

Hours will fall within the following practice opening times:

  • Monday: 8.30am–5.30pm
  • Tuesday: 8.30am–5.30pm
  • Thursday: 8.30am–5.30pm
  • Friday: 8.30am–5.30pm

The exact working pattern will be agreed with the successful candidate. Please state your preferred days and hours in your application.

Some flexibility to provide occasional additional cover for staff holidays or sickness is an essential part of the role.

Salary

Salary will reflect the candidate’s depth of directly relevant experience. Candidates with extensive GP or private medical reception experience, and the ability to work confidently with minimal supervision, will be considered for the higher end of the salary range.
