Salary: FTE £29,000 per annum, pro-rata for part time hours

Make a Difference to Every Patient Journey

Are you an experienced administrator who would thrive in a fast-paced private healthcare environment? Do you enjoy delivering exceptional customer service while supporting clinicians to provide outstanding patient care?

We're looking for a Clinical Administrator to join our growing multidisciplinary team at our specialist private ADHD and Autism clinic.

This is an exciting opportunity to play a central role in supporting patients throughout their assessment and treatment journey. You'll work closely with clinicians and colleagues to coordinate appointments, manage clinical administration and ensure every patient receives a professional, compassionate and seamless experience.

About the Role

As a Clinical Administrator, you'll be one of the first points of contact for patients, families and healthcare professionals, helping to coordinate every stage of the patient journey.

Your responsibilities will include managing appointments and clinician diaries, preparing clinical documentation, maintaining accurate patient records, supporting medication review processes and ensuring the efficient day-to-day running of the clinic. You'll work closely with our multidisciplinary team to provide high-quality administrative support while maintaining exceptional standards of confidentiality, professionalism and patient care.

What You'll Be Doing

You'll be responsible for:

  • Delivering a professional, welcoming and compassionate service to patients, families, referrers and visitors.
  • Guiding patients through the assessment, diagnosis and treatment pathway, providing clear information and support throughout their journey.
  • Coordinating clinician diaries, appointments and clinic schedules using the Semble clinical management system.
  • Preparing appointment documentation and clinical correspondence while ensuring all required information is received before appointments.
  • Maintaining accurate electronic patient records and managing clinical documentation in line with GDPR and information governance requirements.
  • Supporting medication review, prescription administration and other clinical administrative processes.
  • Monitoring outstanding cases, reports and administrative actions to ensure work is completed within agreed timescales.
  • Providing front-of-house reception support and contributing to the smooth day-to-day operation of the clinic.

Customer Service Champion

  • Promoting high standards of patient service, ensuring patients receive professional, empathetic, clear and timely communication throughout their journey.
  • Monitoring patient communications and identifying concerns, recurring issues or opportunities to improve the patient experience, escalating these appropriately.
  • Supporting colleagues with customer service standards by sharing best practice and promoting consistent, sensitive and professional communication.
  • Monitoring patient feedback and service performance, identifying trends and contributing to improvements in patient satisfaction and experience.
  • Championing continuous improvement by contributing to processes, guidance and training that enhance customer service and the quality of the clinic’s administrative service.
  • Working collaboratively with clinicians and colleagues to continually improve patient experience and administrative processes.

About You

We're looking for someone who has:

Essential

  • Experience in a clinical or healthcare administrative role.
  • Excellent organisational and time management skills with the ability to prioritise competing workloads.
  • Outstanding written and verbal communication skills.
  • Strong attention to detail and a commitment to accuracy.
  • Experience preparing clinical correspondence and maintaining confidential records.
  • A professional, compassionate and patient-centred approach.
  • The ability to work independently and collaboratively within a multidisciplinary team.

It would be advantageous if you have:

  • Experience within private healthcare.
  • Experience supporting clinicians or multidisciplinary teams.
  • Experience supporting ADHD, Autism or wider neurodevelopmental services.
  • Confidence using Microsoft Office and electronic patient management systems.
  • Experience using the Semble clinical management system.
  • Experience supporting medication reviews or prescription administration.
  • Knowledge of safeguarding principles.
  • Understanding of clinical governance, GDPR and information governance requirements.
