Location: The Broadway, Woodford Green (occasional cover for our Hackney Clinic)
Hours: Full-time
Start Date: ASAP

We’re looking for a Front of House Receptionist to become the face and voice of our Woodford clinic, bringing calm efficiency, honesty, and 5-star patient experience to every interaction.

What You’ll Do: Patient Experience + Trust-Led Support

  • Welcome patients warmly and confidently, setting the tone for a 5-star journey
  • Manage enquiries in person, by phone, WhatsApp, email, and clinic DMs
  • Provide clear, honest information on treatments, pricing, and clinic policies
  • Drive bookings and clinic sales through trust and patient guidance—not pressure
  • Support clinic promotions, launches, and patient engagement campaigns
  • Represent the clinic with professionalism, warmth, and composure at all times

Clinic Operations + Standards

  • Manage appointments across practitioner and room calendars efficiently
  • Process payments, memberships, and treatment plans accurately
  • Maintain digital patient records securely and in line with GDPR compliance
  • Monitor and order stock (clinic consumables, skincare, and reception supplies)
  • Maintain front-of-house clinic flow, presentation, and patient refreshments
  • Prepare rooms between patients and ensure clinic readiness throughout the day
  • Support internal clinic reporting, KPI tracking, and compliance admin

Opening + Closing the Clinic

  • You must be able to independently open and close the clinic
  • Set up front of house for the day, secure the site at close, and follow protocols reliably
  • Ensure the clinic is clean, organised, stocked, and patient-ready before first arrival
  • Lock down safely, handle end-of-day reconciliation, and maintain standards at close

What We’re Looking For Essential

  • Excellent written and spoken English
  • Strong interpersonal confidence and communication
  • Highly organised, calm under pressure, and detail-driven
  • Tech confident (Google Workspace, Microsoft Office, WhatsApp Web, clinic CRM tools)
  • Honest, reliable, discreet, and able to take initiative
  • Takes pride in patient experience, systems, and self-development
  • Able to follow opening/closing protocols independently

Desirable (Not required to apply)

  • Experience in medical, aesthetics, dental, wellness, or beauty reception roles
  • Familiarity with clinic CRM or booking software
  • Social media admin or scheduling experience
  • Copywriting, design, or client-experience workflow support
