Patient Coordinator & Front of House

Thames Skin Clinic – Twickenham

Thames Skin Clinic is recruiting an experienced Patient Coordinator & Front of House team member to join our clinic in Twickenham.

This is not simply a reception role.

You will be central to the patient journey, from the very first telephone or email enquiry through consultation, treatment and ongoing follow-up. We are looking for someone warm, articulate, highly organised and proactive who genuinely enjoys communicating with patients and helping them navigate their treatment journey.

Previous experience within a medical aesthetics, dermatology, cosmetic, dental, private medical or similar clinical environment would be highly beneficial.

We are also particularly interested in candidates who can bring additional skills to our small team, whether through social media, marketing, content creation, photography, Canva, events, administration or another area of expertise.

Both full-time and part-time applications will be considered.

The Role

As Patient Coordinator & Front of House, you will be one of the first points of contact for our patients and an important part of their overall experience with Thames Skin Clinic.

Your responsibilities will include:

  • Delivering exceptional customer care and ensuring a five-star patient experience at all times.
  • Welcoming patients warmly and professionally when they arrive at the clinic.
  • Answering incoming telephone enquiries confidently and knowledgeably.
  • Responding to patient enquiries by email and other clinic communication channels.
  • Making outgoing telephone calls to patients and prospective patients.
  • Proactively following up new enquiries, consultation recommendations, treatment plans and patients who have not yet booked.
  • Maintaining patient recalls and helping improve patient retention.
  • Building professional relationships with patients throughout their treatment journey.
  • Helping patients understand the treatments and services available at Thames Skin Clinic while recognising when clinical questions need to be referred to a doctor or therapist.
  • Helping patients progress appropriately from enquiry to consultation and from consultation to treatment.
  • Supporting treatment and skincare sales through excellent communication and patient service rather than a high-pressure sales approach.
  • Making and managing appointments accurately.
  • Managing diary changes, cancellations and waiting lists.
  • Ensuring patients receive appropriate appointment information, medical forms and pre- and post-treatment information.
  • Supporting the clinic team with patient photography and skin imaging where required, with training provided.
  • Maintaining accurate patient information within the clinic management system.
  • Taking payments and carrying out daily financial and administrative processes where required.
  • Supporting patient feedback, surveys and review requests.
  • Helping maintain the professional presentation and smooth day-to-day running of the clinic.
  • Supporting the clinic's CQC standards, confidentiality requirements and clinical processes appropriate to the role.
  • Participating in ongoing company training and developing a good working knowledge of the treatments, products and services offered by Thames Skin Clinic.
  • Working collaboratively with doctors, therapists, management and the wider Front of House team.

Telephone & Patient Follow-Up

This is an important part of the role.

We are looking for someone who genuinely enjoys speaking with patients and is comfortable picking up the telephone rather than relying solely on email or messaging.

You should be confident:

  • Calling patients who have made an enquiry.
  • Following up patients after consultations.
  • Following up treatment recommendations and quotations.
  • Contacting patients who have expressed interest but have not yet booked.
  • Making patient recall calls.
  • Following up appropriately after treatment.
  • Handling incoming enquiries with warmth, confidence and professionalism.
  • Listening carefully and identifying what the patient needs.
  • Building rapport naturally over the telephone.
  • A warm, articulate and confident telephone manner is therefore essential.

Who We Are Looking For

You will ideally have previous Front of House, Patient Coordinator or reception experience within a medical aesthetics or healthcare environment.

Experience within aesthetics, dermatology, cosmetic surgery, private medicine, dentistry or another premium healthcare environment would be particularly advantageous.

You should have:

  • Exceptional interpersonal and communication skills.
  • An excellent telephone manner.
  • Confidence making proactive outbound patient calls.
  • A naturally warm and professional approach to patient care.
  • Excellent organisational skills.
  • Strong attention to detail.
  • The ability to multitask and prioritise effectively.
  • The confidence to work independently while remaining an active member of a small team.
  • A proactive attitude and willingness to take responsibility rather than waiting to be asked.
  • Good written English and professional email communication skills.
  • Good general numeracy, IT and administrative skills.
  • Confidence using computer-based systems and learning new software.
  • A professional appearance and manner.
  • Reliability, honesty and discretion.
  • An interest in skin health, aesthetics and medical treatments.
  • The ability to communicate treatment information clearly while understanding the boundaries between patient coordination and clinical advice.
  • The confidence to discuss products, consultations and treatments appropriately with patients.
  • Flexibility in attitude and approach.
  • A commitment to continually learning and developing.
  • Experience using Pabau or another medical or clinic management system would be advantageous but is not essential.
  • Knowledge of ZO Skin Health or professional skincare would also be beneficial but is not essential.

  • For this patient-facing role, reliability and ease of travel to the clinic are important. Candidates living locally or within a straightforward commuting distance of Twickenham would therefore be particularly welcome.
  • Hours
  • Full-time or part-time positions are available.
  • Working patterns can be discussed depending on the successful candidate and the requirements of the clinic.
  • Some Saturday working will form part of the clinic rota.
