Care Home Administrator

Salary: Starting from £14.50 per hour
Hours: 40 hours per week, Monday to Friday
Working Hours: 9:00am – 5:00pm, with flexibility required
Holiday: 33 days annual leave inclusive of Bank Holidays

Purpose of the Role

The post-holder is responsible for providing administrative support to Falcon House (ECHO) Ltd under the direction of the Registered Manager. Applicants must have previous Administrator experience within a Care Home or Care Setting.

This is a fast paced role requiring initiative, adaptability, and the ability to learn quickly. Excellent Excel knowledge is essential, as the role includes completing monthly accounts.

Key Responsibilities Administration & Reception Duties

  • Provide a professional reception service by meeting and greeting visitors and directing them to the appropriate personnel.
  • Undertake general office administration duties to ensure the smooth running of Falcon House (ECHO) Ltd, including:
  • Responding to telephone calls, emails, and other communications
  • Processing incoming and outgoing mail
  • Photocopying, printing, filing, and archiving
  • Directing enquiries to relevant personnel
  • Process invoices for payment.
  • Complete basic accounting tasks using SAGE software.
  • Complete monthly accounts and financial administration duties.
  • Develop and maintain effective office management systems to support the smooth operation of the service and regulatory compliance.
  • Respond to requests for information from people supported, colleagues, and external professionals.
  • Maintain adequate office supplies including stationery, forms, brochures, and staff name badges.
  • Support the Registered Manager and Director of Operations with administrative tasks including correspondence, note taking, meeting minutes, and information dissemination.

Record Keeping & Compliance

Maintain accurate records relating to:

  • Referrals, admissions, and discharges
  • Occupancy
  • Staff recruitment and personnel files
  • Staff training records
  • Financial records
  • Quality, governance, and compliance documentation

Operational Support

  • Assist maintenance personnel with coordinating repairs and maintenance.
  • Provide administrative support to members of the Senior Management Team when required.
  • Maintain company policies and procedures, including staff signatory systems.
  • Liaise with payroll providers to ensure accurate staff pay and salary processing.

General Duties

  • Maintain confidentiality at all times.
  • Ensure compliance with the Data Protection Act 2018 when handling records relating to people supported, staff, and services.
  • Notify the Registered Manager promptly regarding any absence from work.
  • Ensure the security of the office environment.
  • Ensure office equipment is clean and well maintained.
  • Carry out any other reasonable duties as required.

Communication

  • Participate in staff and meetings involving people supported as required.

Marketing

  • Promote a positive and professional image of Falcon House (ECHO) Ltd within the local community.
  • Support tours of the service for visitors when required.
  • Assist with preparing and displaying promotional materials and brochures.

Training & Development

  • Complete mandatory and developmental training as required.
  • Maintain professional knowledge and competence relevant to the role.

  • Develop positive working relationships with staff, management colleagues, visitors, families, visiting professionals, commissioners, and regulatory bodies.
  • Display a friendly, flexible, and professional attitude at all times.

Person SpecificationExperience

  • Previous administration experience within a Care Home or Supported Living setting
  • Experience organising and prioritising workloads

  • Excellent Excel knowledge is essential
