Role Overview
The Assistant Psychologist will assist with a variety of administrative tasks that support the smooth running of the clinic. This includes managing patient appointments, assisting with psychometric assessments, maintaining patient records, and providing overall administrative support to the clinical team.
Key Responsibilities:
Administrative Support
- Booking Appointments: Coordinate patient bookings for assessments, therapy sessions, and follow-up appointments. Ensure efficient scheduling to reduce wait times and optimise clinic capacity.
- Patient Records Management: Maintain and update accurate patient records, ensuring compliance with confidentiality and data protection regulations (e.g., GDPR).
- Psychometric Testing Assistance: Support the clinical team in sending psychometric assessments to patients, ensuring all required documents are prepared and delivered in a timely manner.
- Data Entry and Log Management: Regularly update and maintain Excel spreadsheets and other databases for patient tracking, including appointment logs, test results, and clinical notes.
- NHS Documentation and Reporting: Assist in preparing reports and documentation required for Right to Choose referrals, ensuring all data and patient information are submitted in accordance with NHS standards and deadlines.
- Communication: Respond to patient inquiries, provide appointment confirmations, and offer any relevant information regarding the clinic’s services.
Clinical Team Support
- Administrative Liaison: Provide administrative assistance to the clinical psychologists and other staff, ensuring that all clinical processes are supported effectively.
- Assist in Preparation for Clinical Sessions: Ensure that all necessary materials, psychometric assessments, and case information are prepared ahead of clinical assessments.
- Attend Clinical Meetings: Participate in regular team meetings to discuss patient progress, administrative tasks, and any challenges that arise in managing appointments or records.
Person Specification:
Essential Criteria
- Educational Qualifications:
- A degree in Psychology (BSc or equivalent).
- Experience:
- Previous administrative experience within a healthcare setting (ideally in a mental health or clinical setting).
- Experience with managing patient records, appointments, and data entry.
- Skills and Abilities:
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy in managing data and patient information.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook), with experience in data management and reporting.
- Strong verbal and written communication skills, with the ability to liaise professionally with patients and colleagues.
- Ability to work independently, as well as part of a collaborative team.
Desirable Criteria
- Familiarity with NHS frameworks and processes.
- Experience with electronic health records (EHR) or practice management software.
- A basic understanding of psychological assessments and psychometric tools.
