At the Health and Safety Executive (HSE), we want to create the conditions for all colleagues to be healthy, safe and well at work.

To support this, we launched an improvement programme to strengthen how we lead Health, Safety and Wellbeing (HSW) through our people, supported by effective systems and processes. This work supports delivery of our People Plan and wider organisational priorities.

We are looking for a HSW Information & Support Coordinator to join the Health, Safety and Wellbeing Team. This is an administrative and data-focused role that supports the smooth running of HSW systems, reporting and contract activities.

You will work closely with the HSW Service & Contract Manager, helping to maintain accurate data, prepare reports and ensure information is well organised and accessible. While the role is primarily administrative, it will provide visibility of senior stakeholders and contribute to important organisational priorities.

Job description

Key Responsibilities:

  • Provide day-to-day administrative support to the HSW team, including managing the shared inbox, handling queries and coordinating work requests.
  • Maintain accurate records and information systems, including SharePoint, ensuring data is up to date, well organised and stored correctly.
  • Support the preparation of regular reports by collating, checking and updating data on health, safety and wellbeing and supplier performance.
  • Assist with contract administration by processing information received from suppliers and supporting routine reporting requirements.
  • Support governance and assurance activity by preparing materials for meetings, recording actions and maintaining documentation.
  • Assist with audit and compliance processes by gathering information and maintaining records as required.

Person specification

Essential Skills and Criteria:

  • Experience of providing administrative or business support in an office environment.
  • Ability to manage and maintain accurate data and records.
  • Good organisational skills, with the ability to prioritise and manage routine tasks.
  • Clear communication skills and the ability to work with a range of colleagues.
  • Experience of using Microsoft Office applications, including Excel and SharePoint.
  • Attention to detail and a methodical approach to work.

Hybrid Working

At HSE, we are proud to be able to offer our people the opportunity to work in a hybrid way which combines working from home and the office. This is a voluntary, non-contractual arrangement, and your allocated office will be your contractual place of work.

There will be a requirement to travel to the office for various activities, e.g., collaborative working, supporting and training colleagues. If hybrid working is suitable for you and your role, you will be expected to attend the office, or other business-related site, for 60% of your working week. The arrangements will be determined primarily by business need, but personal circumstances and other relevant circumstances will also be taken into account.
