OVERVIEW OF SLOANE COURT CLINIC

The Sloane Court Clinic is a renowned centre for private outpatient psychiatry and psychology in London. We are a team of highly experienced clinicians, many of whom are leading authorities on psychiatric and psychological disorders, academics and medical authors from a range of countries, and deftly proficient support staff. We have 58 clinicians, and a team of 12 working in Operations.

We operate a Hybrid working model, split across remote working and in-person attendance at our clinic in Sloane Square, Chelsea.

ROLE SUMMARY

We are looking for a Medical Secretary who will provide additional support to our existing Medical Secretaries within our Typing and Records Team, as the clinic continues to grow.

This is an exciting position within the clinic, with the opportunity for the successful candidate to really make the role their own.

This role would suit someone with an active interest in and passion for mental health, with – ideally – a background in similar secretarial roles.

The role will be extensively supported by our long-standing Operations team and overseen by our Lead Medical Secretary.

  • To fulfil this role effectively, you will need to build a complete understanding of the clinic, our policies, and how we operate
  • To achieve this, you will have a very close working relationship with the Lead Medical Secretary, the ADHD Clinic Medical Secretary and Lead Patient Services Co-ordinator You will be responsible for providing the highest level of professional service to and for our clinicians, and for handling their clinical correspondence efficiently and intelligently
  • You will maintain excellent working relationships with all business areas
  • You will carry out administrative tasks using our systems and Microsoft Office
  • You will achieve targets set for the role; these targets will be set in agreement with yourself, the Lead Medical Secretary and the General Manager
  • You will actively contribute towards the overall development of the secretarial team and company as a whole
  • You will relish the opportunity to be proactive, positive and innovative in helping the Clinic achieve an even greater workplace culture, and even more positive outcomes for our patients

KEY RESPONSIBILITIES AND DUTIES

This role will work within our Typing & Records team, across General Adult Mental Health and our Neurodiversity clinic.

  • Using our speech to text software to convert dictation into drafted letters
  • Formatting and proof-reading, to a high level, of draft correspondence provided by clinicians.
  • Uploading patient notes and issued controlled drug prescriptions to the patient record
  • Assisting the team to follow up with clinicians, patients and insurers for responses, where needed
  • Ensuring patient records are kept up to date by assisting with our discharge process for each clinician
  • Providing additional cover during periods of leave / sickness / absence
  • Providing additional in person cover during periods of leave / sickness/ absence
  • Sending clinical correspondence to the correct and intended recipients, ensuring data and consent preferences are adhered to at all times
  • Participate in projects that support the continued growth and development of the clinic, as required, and where suitable dependent on the successful candidate

To work at the Sloane Court Clinic, a successful candidate must have a current Adult DBS certificate. If you do not have one from the last three years, the clinic will pay for this. You must disclose to us anything that would impact this check returning successfully.

REQUIRED QUALIFICATIONS AND SKILLS

  • Minimum grade C, GCSE English or equivalent.
  • Minimum 1-2 years secretarial experience.
  • An excellent grasp of the English language to ensure proof reading is carried out at the highest level.
  • Attention to Detail: Ability to maintain a high level of accuracy in transcriptions and data entry.
  • Organisational Skills: Strong ability to organise and manage large volumes of patient records efficiently.
  • Confidentiality: Respect for patient privacy and adherence to data protection regulations.
  • Communication: Excellent verbal and written communication skills, facilitating smooth interactions within the clinic.
  • Time Management: Effective prioritisation and ability to meet deadlines in a fast-paced environment.
  • Confident in working remotely without an onsite supervisor.
  • Adaptability: Capacity to adjust to changing clinic needs and processes.
  • Problem-Solving: Ability to resolve issues and propose improvements in transcription workflows.

PREFERRED SKILLS

  • Advanced Software Skills: Proficiency in MS Office Suite (Word, Excel, Outlook).
  • A familiarity with medical terminology, specifically within the area of mental health.

SALARY AND BENEFITS

Salary details on request and dependent on experience. The annual salary will be subject to yearly review.

Benefits include pension contribution, a quarterly group Schwartz sessions with a Senior Clinical Psychologist, 25 days holiday plus bank holidays, and two work socials a year.
