What is the job?
Great patient care doesn't just happen in the consultation room, it starts with a well-organised, supported and connected team behind the scenes.
We are looking for a Medical Secretary to join Montu UK on a 12-month fixed-term maternity cover contract. In this fast-paced role, you'll be the organisational backbone of our clinical team, helping to keep everything running smoothly so our clinicians can focus on what they do best — delivering exceptional care to patients.
From coordinating clinician schedules and managing clinical administration to supporting meetings and keeping important documentation up to date, you'll play a key role in making sure our day-to-day operations run seamlessly. You'll be juggling priorities, solving problems and keeping things moving, no two days are the same.
If you're highly organised, naturally proactive, enjoy supporting others and get satisfaction from making sure everything is exactly where it needs to be, you'll fit right in.
This is a full-time, fixed-term maternity cover contract for 12 months, working 40 hours per week.
What will you be doing?
As our Medical Secretary, you will be at the heart of keeping the clinical team organised and supported by:
- Preparing, maintaining and updating clinician rotas to ensure excellent clinical coverage.
- Resolving rota conflicts and communicating schedule changes quickly and effectively.
- Providing day-to-day administrative support to clinicians and the wider medical team.
- Maintaining accurate clinical records and ensuring documentation is always up to date.
- Organising meetings, taking minutes and following up on agreed actions.
- Coordinating consultant inductions and supporting onboarding and training activities.
- Working closely with other departments to ensure clinicians have the equipment, systems and support they need to do their jobs effectively.
- Acting as the first point of contact for clinician queries relating to scheduling and administration.
- Drafting professional correspondence and supporting day-to-day communications.
- Managing sensitive information with the highest level of confidentiality and professionalism.
- Supporting operational projects and helping the team stay on track with key deadlines.
- Identifying opportunities to improve processes and make the clinical team's day-to-day operations even more efficient.
What do you need?
We're looking for someone who loves being organised, takes pride in supporting others and thrives when there's plenty to keep them busy. You'll be comfortable managing multiple priorities, confident communicating with different people and able to stay calm and solution-focused in a fast-paced healthcare environment.
You'll ideally have:
- Previous experience in a Medical Secretary, healthcare administration or similar administrative role.
- Excellent organisational skills with the ability to prioritise a varied and fast-moving workload.
- Strong communication skills, both written and verbal.
- Good IT skills and confidence using Microsoft Office and healthcare or scheduling systems.
- High attention to detail and the ability to maintain accurate records.
- A proactive, solutions-focused approach and the confidence to work independently.
- The ability to handle confidential information with professionalism and discretion.
- A genuine desire to support a clinical team and contribute to a positive patient experience.
What we offer:
- Generous Leave: 25 days holiday (rising to 27 after year one and 30 after year three) + usual bank holidays
- Pension Matching: Up to 5% employer matching contributions
