About Edinburgh Urology Specialists
Edinburgh Urology Specialists is a leading group of Consultant Urological Surgeons providing specialist private urological care across Edinburgh. We work closely with leading private hospitals, including Spire Murrayfield Hospital and Nuffield Health Edinburgh Hospital, to provide patients with high-quality, personalised care throughout their treatment journey.
As our practice continues to grow, we are looking for an organised, professional and approachable Patient Care Coordinator to join our team.
This is a varied and rewarding role at the heart of our service. You will work closely with Consultant Surgeons, clinical teams, hospitals, insurers and patients to ensure that every aspect of the patient journey is coordinated efficiently, professionally and with the highest level of care.
The Role
As Patient Care Coordinator, you will take responsibility for coordinating patients from initial referral through consultation, investigation, treatment and follow-up.
You will provide a combination of patient coordination, medical administration and Consultant support, ensuring that clinics and surgical pathways run smoothly and that patients receive a seamless, professional and reassuring experience at every stage.
The role would suit someone who enjoys working in a busy environment, is highly organised, has excellent attention to detail and takes pride in delivering outstanding patient service.
Key Responsibilities
Patient Coordination and Care Pathways
Coordinate patients throughout their treatment journey, from referral and initial consultation through investigations, procedures and follow-up.
Monitor patient pathways and waiting lists, ensuring actions and appointments are followed up promptly.
Process referrals from healthcare professionals and ensure relevant information is available to the Consultant team.
Prepare clinic lists and ensure patient notes, investigations, scans and results are available ahead of appointments.
Communicate with patients by telephone and email, providing clear, professional and empathetic support throughout their care.
Respond to patient queries efficiently, escalating clinical matters to the appropriate Consultant or clinical team when required.
Provide patients with clear information regarding appointments, investigations, procedures and administrative arrangements.
Consultant and Medical Administration
Manage Consultant diaries, clinic schedules and surgical bookings.
Coordinate theatre and treatment room bookings with relevant clinical and administrative teams.
Prepare, format and distribute clinical letters, reports, referrals and other correspondence.
Maintain accurate and up-to-date patient records and electronic medical records.
Ensure correspondence, results and other relevant documentation are appropriately recorded and followed up.
Provide effective administrative and secretarial support to Consultants and wider healthcare teams.
Liaise with hospitals, clinics, GPs and other healthcare professionals to coordinate patient care.
Assist with the preparation and organisation of Consultants’ clinics, meetings and other clinical activities.
Private Healthcare and Insurer Liaison
Occasional liaison with private medical insurers regarding patient authorisations, treatment arrangements and related administration.
Support the administration of self-pay and insured patient pathways when necessary.
Assist with billing and invoicing processes.
Ensure relevant financial and administrative information is accurately recorded and communicated.
Liaise with patients regarding estimates, authorisations and other non-clinical aspects of their treatment where required.
General Administration
Maintain a high standard of confidentiality when handling sensitive patient information.
Ensure all records and documentation are accurate, complete and maintained in accordance with relevant data protection and confidentiality requirements.
Use electronic patient record and practice management systems efficiently and accurately.
Prioritise and manage competing demands effectively in a busy clinical environment.
Contribute to the development and improvement of administrative processes as the practice continues to grow.
Work collaboratively with colleagues and provide support across the practice when required.
About You
We are looking for someone who is professional, organised, approachable and genuinely committed to providing an excellent patient experience.
You will ideally have:
Previous experience in medical administration, medical secretarial work, patient coordination or a similar healthcare environment (audio typing not required).
Excellent organisational and time-management skills with the ability to manage multiple priorities.
Strong written and verbal communication skills.
Excellent attention to detail and a high level of accuracy.
Strong IT skills, including Microsoft Office applications, Zoom, Google Workspace.
Confidence communicating with patients, Consultants, GPs, hospitals and other healthcare professionals.
The ability to work independently, use initiative and prioritise workload effectively.
A calm, professional and empathetic approach when dealing with patients, including those who may be anxious or distressed.
A strong understanding of confidentiality and the importance of handling sensitive information appropriately.
A positive, flexible and team-oriented approach.
Experience of private healthcare, medical terminology (urology), electronic patient record systems and private medical insurance processes would be advantageous, but is not essential as in-house training will be provided.
We are particularly interested in candidates who can demonstrate excellent transferable administrative, organisational and customer-service skills and who are keen to develop their knowledge of specialist private healthcare.
What We Offer
£16.20 per hour (£31,590 per annum based on 37.5 hours per week)
Monday to Friday, office hours 08:00 – 16:00
