Front of House Receptionist / Patient Coordinator

Dr Grace Kelly Aesthetic Skin Clinic – Chalfont St Peter

Part-time: 3 days per week

  • Monday: 10am–6pm
  • Thursday: 12pm–8pm
  • Saturday: 9am–5pm

£13–£15 per hour, depending on experience

Dr Grace Kelly Aesthetic Skin Clinic is a leading provider of advanced skincare and medical aesthetic treatments. We pride ourselves on delivering exceptional patient care in a warm, welcoming and professional environment.

We are looking for an experienced, friendly and highly organised Front of House Receptionist / Patient Coordinator to join our team. As the first point of contact for our patients, you will play an important role in managing the complete patient journey and ensuring the smooth day-to-day running of the clinic.

Key Responsibilities

  • Welcoming patients and ensuring they receive a friendly, professional and five-star experience
  • Managing telephone, email and online enquiries promptly and professionally
  • Booking, amending and confirming appointments
  • Arriving and checking out patients using the clinic’s booking system
  • Taking payments and maintaining accurate patient accounts
  • Managing late arrivals, cancellations and missed appointments in line with clinic policies
  • Maintaining accurate and confidential patient records
  • Preparing clinic lists and patient information for practitioners
  • Supporting patients throughout their treatment journey, including following up on enquiries and treatment plans
  • Keeping the reception and patient areas clean, organised and presentable
  • Supporting the wider clinic team with general administrative duties
  • Helping to ensure the clinic runs efficiently and delivers consistently high standards of patient care

About You

The ideal candidate will:

  • Have previous reception, customer service or administrative experience
  • Be warm, confident and professional when communicating with patients
  • Have excellent telephone and written communication skills
  • Be highly organised with strong attention to detail
  • Be comfortable managing a busy workload and prioritising tasks
  • Be confident using computer systems, email and online booking platforms
  • Be reliable, discreet and able to handle confidential patient information appropriately
  • Take pride in delivering an exceptional standard of customer service
  • Work well independently and as part of a close-knit team

Previous experience within an aesthetic, medical, dental, beauty or other private healthcare setting would be beneficial but is not essential.

Hours

This is a permanent, part-time position working three fixed days per week:

  • Monday: 10am–6pm
  • Thursday: 12pm–8pm
  • Saturday: 9am–5pm

Applicants must be available to work all three days.
