Full job description

Private Secretary Group is a rapidly growing healthcare support company providing medical secretarial, practice management and administrative support services to consultants and clinicians working within private healthcare.

We act as an extension of our consultants' practices, supporting everything from patient enquiries and appointment bookings through to referrals, investigations, billing, clinic administration and day-to-day practice management.

We are looking for a highly organised, proactive and professional individual to join our team as a Private Medical Secretary.

This is not a traditional medical secretary role. Whilst medical secretarial experience is advantageous, we are looking for someone who enjoys being involved in the wider operation of a busy business and is willing to take ownership of tasks, solve problems and support both patients and clinicians to a high standard.

Requirements

The successful candidate will provide administrative and medical secretarial support to a portfolio of private consultants and their patients.

Responsibilities will include:

  • Managing patient enquiries via telephone and email
  • Booking appointments and investigations
  • Processing referrals and new patient enquiries
  • Sending request forms and arranging investigations
  • Managing consultant diaries and clinic administration
  • Chasing results, reports and correspondence
  • Liaising with hospitals, insurers and external providers
  • Assisting with billing and payment queries
  • Supporting consultant onboarding processes
  • Maintaining accurate records within Carebit and other systems
  • Proofreading and quality-checking correspondence where required
  • Assisting with wider administrative and operational projects across the business

The ideal candidate will:

  • Have excellent organisational skills
  • Be highly proactive and able to work independently
  • Have strong written and verbal communication skills
  • Be confident speaking with patients and healthcare professionals
  • Have excellent attention to detail
  • Be able to manage multiple competing priorities
  • Be comfortable working in a fast-paced environment
  • Be willing to learn and adapt
  • Be confident using computer systems and technology
  • Take ownership of tasks from start to finish
Desirable Experience
  • Medical secretarial experience
  • Private healthcare experience
  • Experience using Carebit, Semble, Healthcode or similar systems
  • Experience within a healthcare, administrative or customer service environment

Working Hours:

This is a full-time position working Monday to Friday, 08:30am – 5:00pm, with a 30-minute unpaid lunch break.

Benefits

  • Competitive salary dependent on experience
  • Supportive and collaborative team environment
  • Opportunities for progression as the business continues to grow
  • Exposure to a wide variety of private healthcare specialties
  • Ongoing training and development
  • Modern office environment in Bristol

Important Information – Please Read Before Applying

This is an office-based position located at our Bristol office (BS4).

Applicants must be willing and able to work from the office on a full-time basis throughout their probationary period.

Whilst hybrid working may be considered in the future for the right candidate, this is not guaranteed and should not be expected upon commencement of employment.

This position is not suitable for candidates seeking a predominantly remote or work-from-home role. Applications where the primary motivation is immediate hybrid or home working will not be progressed.

We are looking for someone who wants to become fully embedded within the business, work closely with the wider team and contribute to the ongoing growth of Private Secretary Group.
