Job Title: Medical Secretary (Zero hour contract)

Job Summary
South Warwickshire GP Federation is seeking a flexible and organised individual to provide secretarial and referral support to member practices. This role involves typing dictations, processing patient referrals using relevant systems, managing worklists, and responding to patient queries relating to referrals.

This is a varied position suited to someone with strong administrative and communication skills, excellent attention to detail, and the ability to work independently while maintaining strict confidentiality.

Key Responsibilities

  • Use the Lexacom system to receive central letters, type dictations remotely, and complete referral processes to NHS or private practitioners as directed.
  • Provide cover for secretarial annual leave or absence across member practices.
  • Monitor NHS activity lists and referral progress using the NHS booking system.
  • Support practices with patient enquiries relating to referrals.
  • Prepare ad hoc information and reports relating to referral management.
  • Ensure practices receive communication regarding workload and tasks requiring action via EMIS tasks.
  • Attend relevant meetings and record meeting minutes where required.
  • Carry out any other duties appropriate to the role as delegated.

Location
Hybrid role involving a combination of remote working and working within GP practices across South Warwickshire.

Hours
Zero-hours contract. Working hours will be discussed at interview stage.

Essential Criteria

  • Good standard of general education, including GCSEs (or equivalent) in English and Maths.
  • RSA III Word Processing / Information Technology qualification, or equivalent experience.
  • Previous experience in a secretarial or administrative role.
  • Practical experience of working within a team.
  • Experience of using own initiative and managing workload effectively.
  • Experience of using computerised recording systems.
  • Strong IT skills and confidence using a range of software systems.
  • Excellent written and verbal communication skills.
  • Good time management skills and the ability to work to deadlines.
  • Strong problem-solving, planning and organisational skills.
  • Ability to work under pressure and adapt to changing priorities.
  • Professional, self-motivated and flexible approach to work.
  • Full UK driving licence and access to a car.

Desirable Criteria

  • AMSPAR Medical Secretary Diploma.
  • Experience liaising with healthcare professionals, Primary Care Networks, patients, and external organisations.
  • Good understanding of a GP practice or medical office environment.
  • Working knowledge of medical terminology.
  • Understanding of GP clinical systems.
