Job Title: Part-Time Receptionist
Location: North Bristol Private Hospital, 150 Aztec West, Bristol, BS32 4UB
Hours: 2 days/16 hours per week, 8:30am – 5:00pm (30-minute unpaid lunch break)
Working Pattern: Non-fixed days, typically Wednesday and Thursday, with reasonable flexibility required to support service needs.

Role Summary
We are seeking a professional, organised and patient-focused Part-Time Receptionist to join our team. This role is central to the smooth running of the hospital and combines front-of-house reception duties with administrative and operational support. Additional hours may be offered from time to time, for example to cover annual leave or service needs within the hospital administration team. Any additional hours will be agreed in advance wherever practicable. Following appropriate training and supervision, the post holder may also have the opportunity to support wider administrative functions, including private consultation appointments and surgical procedure booking administration.
Daily Duties
On designated reception days, you will be responsible for:
Front of House and Patient Experience
- Providing a professional, welcoming and confidential front-of-house reception service to patients, visitors, contractors and colleagues.
- Maintaining a calm, respectful and patient-centred approach, including when supporting people who may be anxious, upset or require additional assistance.
- Supporting patient and visitor hospitality, including making beverages where appropriate and maintaining a clean, tidy and safe reception environment.
- Supporting appointment booking, rescheduling and communication with patients in person and via email/telephone when required, ensuring information is accurate and handled sensitively.
Communication and Administration
- Answering telephone enquiries, taking accurate messages, managing voicemails and directing calls appropriately.
- Monitoring and responding to relevant emails promptly, accurately and professionally.
- Preparing, printing, organising and filing patient and surgical documentation accurately and in line with hospital procedures.
- Processing payments, issuing receipts and maintaining accurate financial records in accordance with organisational procedures.
- Receiving, recording and distributing deliveries and supporting the ordering of food, refreshments and supplies.
Security, Safety and Compliance
- Opening and closing reception areas in accordance with local procedures.
- Managing visitor, patient and contractor sign-in/sign out processes and supporting site security and accountability arrangements.
- Complying with confidentiality, information governance, data protection, safeguarding, infection prevention and control, and health and safety requirements.
- Escalating concerns promptly and appropriately, including matters relating to patient safety, safeguarding, confidentiality, complaints, incidents, security or infection prevention and control.
- Following training, acting as a Fire Warden and supporting emergency evacuation procedures in accordance with hospital policy.
Facilities and Operational Support
- Maintaining reception equipment and refreshment facilities, including basic coffee machine upkeep.
- Supporting chaperoning arrangements only where required, following appropriate training, in line with hospital policy and within the non-clinical scope of the receptionist role.
- Undertaking other reasonable duties consistent with the role, competence, training and service needs of a busy hospital environment.
- Chaperoning duties after applicable training, if required.
- Strict adherence to confidentiality regulations and ethical standards.Person Specification
Essential Criteria:
- Relevant experience: Previous experience in a receptionist, front-of house, customer service or administrative role involving direct contact with members of the public, patients, visitors or clients.
- Communication: Clear, professional verbal and written communication skills, with the ability to handle telephone, email and face-to-face enquiries accurately, courteously and appropriately.
- Patient and visitor focus: Ability to provide a welcoming, respectful and confidential service to patients, visitors, contractors and colleagues, including people who may be anxious, upset or require additional support.
- Organisation and accuracy: Strong organisational skills, attention to detail and ability to maintain accurate records, messages, appointment information, payment records and documentation.
- Prioritisation and teamwork: Ability to prioritise tasks, work independently within agreed procedures and contribute positively as part of a small hospital team.
- IT skills: Competent IT skills, including the ability to use Google Documents and Microsoft Office applications such as Word, Outlook and Excel, and to learn hospital administration or booking systems following training.
- Confidentiality and information governance: Ability to handle confidential and sensitive information with discretion and integrity, and willingness to follow data protection, confidentiality and information governance procedures.
- Healthcare compliance: Willingness to complete statutory and mandatory training, including safeguarding, information governance, infection prevention, fire safety and health and safety, and to follow hospital policies and procedures.
- Escalation and safety awareness: Ability to recognise when a matter should be escalated to a manager or clinical colleague, including concerns relating to patient safety, safeguarding, confidentiality, complaints or site security.
- Working pattern: Able to commit to the advertised part-time working pattern and attend work consistently in line with contractual requirements, with reasonable flexibility where service needs require.
Desirable Criteria:
- Healthcare experience: Previous experience in a healthcare, private hospital, GP practice, clinic or other CQC regulated environment.
- Patient-facing administration: Experience supporting appointment coordination, patient booking, clinical administration or reception services in a healthcare setting.
- Systems experience: Experience using patient booking, practice management, electronic patient record or hospital administration systems.
- Payments and receipts: Experience handling card payments, issuing receipts, recording transactions or supporting basic sales processing.
- Information governance awareness: Awareness of UK GDPR, confidentiality and information governance requirements in a healthcare or sensitive service environment.
- Safeguarding and chaperone awareness: Awareness of safeguarding escalation routes and professional boundaries when supporting patients, visitors or chaperoning arrangements.
