Job Purpose
The Clinical Administrator plays a vital role in supporting the Clinical Team by ensuring all clinical administration is completed accurately, efficiently and confidentially. The successful candidate will provide administrative support to the branch, clinicians and management teams, maintain electronic clinical records, coordinate referrals and appointments, and assist with clinical governance activities.
The role requires excellent organisational skills, attention to detail and the ability to work within strict deadlines while always maintaining confidentiality.
Key Responsibilities
- Acting as a first line of response to system and care alerts - assessing urgency, resolving what you can and escalating clinical concerns to the right person immediately.
- Building and maintaining professional working relationships with GPs, district nurses, pharmacies, hospital teams, social workers and families.
- Requesting and chasing repeat prescriptions on behalf of service users, liaising with GP practices and pharmacies to make sure nothing runs short.
- Carrying out pre-employment checks, including employment referencing and Enhanced DBS applications. Enrolling new starters on e-learning and booking them onto face-to-face training.
- Keeping staff files complete, current and audit-ready at all times.
- Provide comprehensive administrative support to the Clinical Team.
- Process referrals promptly and accurately.
- Create and maintain electronic clinical records.
- Prepare clinical documentation for assessments and reviews.
- Update patient and staff records on internal systems.
- Support the preparation of clinical reports and documentation.
- Maintain accurate audit trails for all clinical documentation.
- Appointment & Diary Management
- Confirm appointments with service users and professionals.
- Rearrange appointments where required.
- Act as the first point of contact for clinical enquiries.
- Manage confidential clinical correspondence.
- Maintain office filing systems.
- Order clinical stationery and supplies.
- Prepare meeting packs.
- Take accurate meeting minutes.
- Monitor shared inboxes.
- Assist with general office administration
Essential Requirements
- Minimum 2 years' administrative experience, ideally within a clinical or care setting
- Clear, accurate written English and a confident, professional telephone manner
- Competent with Microsoft Office and able to pick up electronic care systems quickly
- Self-directed and well organised, with the judgement to know when to escalate
- Genuine compassion for the people we support, matched with professional discretion
- Right to work in the UK
