Overview

We are looking for an organised and proactive Medical Records Coordinator to join our team. The successful candidate will be responsible for the efficient management, maintenance and coordination of patient medical records, ensuring information is accurate, up to date, securely handled and readily available to support the delivery of safe and effective patient care.

Working closely with clinical and administrative teams, the Medical Records Coordinator will oversee the processing of incoming and outgoing medical records, the scanning and coding of clinical information, the management of patient records and the timely handling of requests for information. The role requires a high level of confidentiality, accuracy and attention to detail, together with the ability to manage competing priorities in a busy healthcare environment.

The ideal candidate will have excellent organisational and communication skills, be confident working with computerised systems and understand the importance of information governance and data protection within a healthcare setting. Previous experience in a GP practice, NHS or healthcare environment would be advantageous, although a willingness to learn and a commitment to providing a high-quality service are equally important.

Responsibilities

  • Coordinate and maintain accurate, up-to-date patient medical records.
  • Process incoming and outgoing medical records and patient information requests.
  • Scan, upload and accurately code clinical correspondence and documentation.
  • Ensure records are managed in line with GDPR, confidentiality and information governance requirements.
  • Liaise with clinical and administrative teams regarding patient records and information.
  • Monitor and manage record-related tasks, ensuring deadlines are met.
  • Support the efficient transfer and summarising of new patient medical records.
  • Identify and resolve discrepancies or missing information within patient records.
  • Maintain a high level of accuracy and attention to detail at all times.
  • Contribute to the smooth running and continuous improvement of the medical records service.
  • Work collaboratively with clinicians and administrative colleagues.
  • Assist with departmental workload during periods of absence or increased demand.
  • Participate in practice meetings and mandatory training.
  • Undertake a variety of administrative tasks outside the core responsibilities of the role when requested by the Practice Administration Manager or Practice Management Team.
  • Be willing to learn and provide cross-cover for other administrative functions to support the needs of the practice.
  • Undertake any other duties appropriate to the role and grade.

Requirements

  • Strong computer skills with proficiency in Microsoft Office applications such as Word, Excel, and Outlook
  • Excellent analysis skills to interpret data accurately and identify patterns or inconsistencies
  • Exceptional communication skills in English to effectively liaise with diverse teams and stakeholders
  • Demonstrated organisational skills to manage multiple tasks efficiently in a fast-paced environment
  • Customer service mindset with the ability to handle sensitive information discreetly and professionally
  • Knowledge of IT systems related to healthcare documentation is a plus
