The Role:

As a Rota Co-ordinator, you will play a pivotal role in maintaining effective and accurate rotas while ensuring our care services run smoothly. Your responsibilities will include both administrative and field-based tasks to ensure our clients receive the highest level of care.

Key Responsibilities:

  • Rota Management: You will take full responsibility for managing the customer and staff rotas using electronic software systems. This includes organising and scheduling care staff to ensure efficient service delivery, covering sickness and holiday leave.
  • Client Meetings & Assessments: You will conduct face-to-face meetings with new and existing clients, assess their care needs, and ensure their requirements are accurately reflected in the care schedules.
  • Coordinating Care Services: In addition to rota management, you will work closely with customers, their families, and other health professionals (including Suffolk County Council and NHS Continuing Health) to ensure services are delivered in line with the care plan.
  • Communication: Liaise regularly with care staff, colleagues, and healthcare partners. You’ll need to ensure effective and clear communication with a variety of stakeholders, including family members, advocates, and other professionals.
  • Fieldwork & Assessments: Conduct fieldwork, meeting new clients, conducting home assessments, and liaising with family members to ensure their care plans are tailored to meet specific needs.
  • Support on call services: To work as part of the senior team in terms of handling any out of hours calls on a rotational basis.
  • Administrative Support: Provide support in the administration of care services, managing schedules, handling queries, and maintaining accurate client and staff records.
  • Organisational Skills: Maximise staff availability to ensure optimal rota coverage, and address any operational needs that arise.Required Skills & Experience:
  • Strong IT skills, including experience using scheduling software, Excel, Word, and Outlook.
  • Previous experience in a highly organised administrative role is essential; experience in managing rotas is preferred but not required.
  • Experience working in the care sector is beneficial, though not essential.
  • Ability to work effectively under pressure, meet tight deadlines, and manage fast-paced situations.
  • Excellent verbal and written communication skills, with a confident telephone manner.
  • Good geographical knowledge of Suffolk or the ability to undertake effective route planning.
  • Strong attention to detail and organisational skills to ensure all documentation and schedules are accurate.
  • Ability to work independently and as part of a team.
  • Flexibility to work additional hours if required to meet operational needs.
  • Minimum care qualification at Level 3 NVQ required.
