Actual salary based on 22.5hrs per week = £16,380 rising to £16,965
Start date: October 2026

**IMPORTANT INFORMATION ABOUT THIS POST**
This is a higher level administrative role and we are looking for someone to support our management team with a wide range of administrative duties.
You must be highly organised, have strong administrative skills, the ability to learn quickly and be able to deal with a challenging/demanding workload during peak times. The ability to work to strict deadlines and excellent time management skills are essential – as is a sense of humour! Full training and support provided in-house.
Training courses and development opportunities are available with this post for the right candidate.
The UEA Medical Centre is an independent NHS GP practice, situated on the campus of the University of East Anglia about 4 miles to the West of the centre of Norwich. As well as being a PMS practice within NHS Norfolk, offering all normal NHS requirements, we provide many additional services to the university. We are a member of the Norwich Primary Care Network and we have attached staff from the PCN also providing support/services to our patients. We look after circa 20,000 patients.
Duties and Responsibilities
- Maintain infection control standards and administrative duties in line with CQC for clinical and non-clinical areas, attending meetings as required
- Undertake Safeguarding administrative duties on behalf of the practice
- Undertake Health & Safety Assessments where necessary
- Carry out Subject Access Requests (SARs) reviews/redactions and processing
- Support the GPA Admin team with referral processes
- Maintain a record of all practice policies and protocols, monitoring those due for review/in date
- Run the Patient Participation Group (PPG) alongside GP Partner
- Manage the Friend and Family Test (FFT) patient feedback tool
- Assist with the general practice survey and GP appraisal survey as required
- Maintain significant events log and prepare data for meetings
- Housekeeping – coordinate the deep cleaning schedule, assist with laundry items, order kitchen supplies and other restocking
- Arrange calibration/servicing of equipment
- Report building/maintenance problems, update reporting records
- Meeting minutes (doctors, prescribing, review meetings)
- Maintain complaints/compliments log
- New recruitment and interview arrangements - advertise jobs (on NHS Jobs, Indeed and other various job sites), arrange interviews, assist with tests, prepare documents for interview panel
- Weekly non-clinical circulation file
- Assist with the organisation and co-ordination of all staff social events, and ensure they run smoothly
- Prepare induction packs for new staff
- Collate study/training certificates for personnel files
- Carry out due diligence on all attached staff (ie mental health workers, physios etc)
- Add parking permits as required and update the portal
- Maintain the key allocation records
- Update training records and coordinate all staff training requirements
- Book training courses
- Update study leave records
- Assist with audits and project work as required
- Assist with any preparation and paperwork required for inspections (ie CQC, Healthwatch, NHSE, ICB)
