Medical Administrator

Location: Princes Risborough Head Office & and travel to business locations in Buckinghamshire
Hours: 37.5 hours per week covering 5 days
Salary: £25,545 per annum

We are seeking an enthusiastic, organised, and proactive Medical Administrator to join our Primary Care Services Division. This is an exciting opportunity to support a range of community-based Planned Care Services, including:

  • Intermediate Gynaecology
  • Phlebotomy
  • NHS Health Checks

Working under the guidance of the Lead Administrator, you will be a key point of contact for patients, clinicians, healthcare assistants, GP practices, hospitals, and external healthcare providers, ensuring the smooth delivery of high-quality patient services.

About the Role

As a Medical Administrator, you will play a vital role in supporting our clinical teams by delivering efficient and professional administrative services. You will be responsible for managing appointments, patient communications, referrals, clinic preparation, and maintaining accurate records while ensuring excellent patient care and confidentiality standards.

Key Responsibilities

  • Booking and managing patient appointments and recalls using EMIS and other appointment systems
  • Preparing administrative documentation for clinical sessions
  • Typing patient correspondence, clinical letters, and appointment letters
  • Managing patient enquiries professionally and efficiently
  • Creating and processing hospital referrals using eRS
  • Maintaining accurate data logs and spreadsheets
  • Liaising with GP practices, hospitals, clinicians, and patients regarding appointments, tests, and reports
  • Supporting the administration of multiple specialist clinics
  • Ensuring patient records and information are maintained accurately and confidentially
  • Assisting with the day-to-day administrative functions of the service

About You

We are looking for someone who:

  • Has previous administration experience, ideally within a healthcare or NHS environment
  • Has excellent communication and interpersonal skills
  • Is confident using Microsoft Office packages, including Excel
  • Has strong organisational skills and attention to detail
  • Can prioritise workload and work effectively under pressure
  • Demonstrates professionalism, discretion, and confidentiality at all times
  • Has experience using EMIS Web and eRS (desirable but not essential)
  • Enjoys working as part of a busy multidisciplinary team
