Full job description

We have an exciting opportunity for an enthusiastic and highly organised person to join our administrative team on a full-time basis. This role will be based at our head office in West End, Southampton and you will be responsible for building and maintaining business relationships with current and future clients and patients as well as being able to manage incoming customer calls and emails.

Working closely with the Business Support Manager, you will undertake a variety of admin tasks such as answering the phone, arranging clinics, managing emails and booking appointments. The working pattern for this role will be Monday – Friday either 8-4 or 9-5 depending on business needs.

Other responsibilities include:

- Ensuring all customers & patients have their clinics & appointments booked and administered within our service level agreements and guidelines while delivering a high standard of customer service.
- Booking travel and accommodation when necessary
- Assisting & coaching clients on how to use our secure, online portal
- Covering reception when required

We want to hear from you if you have:

- Excellent communication skills, both verbal and written English
- Be able to confidently call customers to discuss bookings

- The ability to work unsupervised, continually managing time and prioritising work to meet tight corporate deadlines
- A proactive approach to contacting new and existing customers
- Good working knowledge of Microsoft Office Word, Outlook and Excel
- Good communication skills written and verbal.
- Must have a minimum of eight GCSE’s including Maths and English at grade 4/C and above, and a minimum of two A-levels. Degree would be desirable.
