We're a small, local business with a close-knit team that works together to make a difference to the people who walk through our doors. We're now looking for an exceptional Administrator / Chiropractic Assistant to become an important part of that team.

IT’S MORE THAN JUST A RECEPTIONIST!

Known as a Chiropractic Assistant (CA), this is a busy, varied and highly client-facing role. You'll be the first person many of our clients speak to and the first person they see when they arrive. You'll help manage their appointments, answer questions, take payments, keep the clinic running smoothly and build genuine relationships with the people in our care.

But this isn't a role where you'll spend your day sitting quietly behind a reception desk.

Our clinics can be busy and fast-paced. You might be welcoming several clients while the telephone is ringing, keeping an eye on appointment timings, processing a payment and noticing that something else in the clinic needs your attention. You'll need to be able to switch between those priorities while remaining organised, accurate, positive and focused on the person standing in front of you.

For someone who gets energy from people, enjoys being busy and loves making things run well, it's a role with loads of variety and opportunity to develop.

No previous Chiropractic or clinical experience is required. We'll teach you about Chiropractic and give you the training and support needed to develop in the role.

WHAT WILL YOU BE DOING?

Reception, diary & administration

  • Managing a busy appointment diary and booking client schedules accurately
  • Answering incoming telephone calls and responding to client queries
  • Taking payments and supporting clients with payment and appointment queries
  • Maintaining accurate client records, data entry and document management
  • Managing appointment timings and client flow throughout the clinic
  • Following established clinic processes and procedures accurately
  • Keeping the reception and wider clinic organised, clean and professional

Customer service & client care

  • Creating a warm, friendly and welcoming experience for clients with genuine relationships and strong rapport
  • Reassuring and educating clients to help them to understand what to expect during their care
  • Handling confidential and sensitive information
  • Managing challenging conversations calmly and professionally
  • Going above and beyond where possible to make someone's experience better

Supporting the clinic

  • Working closely with Chiropractors and fellow Chiropractic Assistants to keep busy shifts running smoothly, demonstrating effective communication
  • Taking ownership when something needs doing rather than waiting to be asked
  • Spotting potential problems and helping find solutions
  • Tuning into your commercial awareness, with a confident and professional approach to sales and client conversion – converting enquiries into appointments, promoting appropriate services and supporting client retention and practice growth
  • Supporting referral opportunities, clinic promotions and other activities that help us reach more people
  • Taking part in ongoing training and developing your knowledge of Chiropractic, health and wellbeing

We're much more interested in finding the right type of person than someone who already knows about Chiropractic.

You'll need to be:

  • Commercially minded – you have a natural curiosity in wider business goals and proactive in ensuring a high standard of client experience and overall business growth
  • Exceptionally organised – you can keep track of multiple things without letting the details slip
  • A strong multitasker – you're comfortable switching between clients, telephone calls, appointments, payments and administration
  • Detail-focused – you naturally double-check your work and notice when something isn't quite right
  • Calm under pressure – a busy reception doesn't overwhelm you
  • Proactive – if you notice something needs doing, your instinct is to take action
  • A confident communicator – both face-to-face and over the telephone
  • Reliable and responsible – people can trust you to follow things through
  • A team player – you're happy to step in and support others when needed
  • Open to feedback – you want to learn, develop and get better at what you do

Previous experience in a busy customer service, reception, front-of-house, healthcare, hospitality, administration or other client-facing environment would be beneficial.

This role may not suit you if you're looking for a quiet administrative position, prefer completing one task before being interrupted by another, or prefer to wait for instructions before taking action. There will be times when several clients arrive together, the telephone rings, an appointment needs changing and another member of the team needs something from you.

That's normal in our clinics.

We're looking for someone who can take that in their stride, prioritise what matters, maintain excellent attention to detail and still make every client feel looked after.

Hours

This position will be allocated to one of the following set clinic rotas (this means the hours of work are rota style but remain the same week-to-week):

Rota 1

Monday – Closed
Tuesday – 07:30–20:30
Wednesday – 14:15–20:15
Thursday – 07:45–13:45
Friday – 14:15–20:15
Saturday – 11:30–16:30 (every other week off)
Sunday – Closed

OR

Rota 2

Monday – 07:30–20:30
Tuesday – Closed
Wednesday – 07:45–13:45
Thursday – 14:15–20:15
Friday – 07:45–13:45
Saturday – 07:00–11:00 (every other week off)
Sunday – Closed

£27,560 per year
