Full job description

Falcon Yard Podiatry is an established private podiatry clinic in the centre of Chesterfield. We are looking for a friendly, organised and reliable Clinic Coordinator to join our team and take responsibility for the day-to-day running of our front of house.

This is a full-time position of approximately 38 hours per week over five days, with a salary of £33,592 per year (£17 per hour) plus an annual performance-related bonus.

This is an important role within a small, busy healthcare practice. You will often be the first person our patients speak to on the telephone and the first person they meet when they arrive at the clinic, so we're looking for somebody who is warm, professional, confident and genuinely enjoys dealing with people.

Your day-to-day responsibilities will include answering telephone calls and responding to patient enquiries, booking and managing appointments, understanding the different treatments and appointment types we offer so that patients are booked appropriately, welcoming patients into the clinic and managing the reception area.

You will register new patients, ensure the appropriate patient forms and information are completed, take payments following appointments and be responsible for accurately managing card and cash payments.

You will also carry out regular stock checks, order clinical and general practice supplies when required, keep the reception and administrative side of the clinic organised and provide general administrative support to the podiatrists and wider clinical team.

We are looking for someone who can take genuine ownership of the front-of-house role. You should be comfortable working independently, noticing when something needs doing and dealing with it without needing constant direction.

Good communication skills are essential. Our patients vary considerably in age and needs, and some may be elderly, nervous, in pain or concerned about their health. Being patient, approachable and able to communicate clearly and professionally is therefore a very important part of the job.

You will need to be confident using computers, managing appointment systems, dealing with emails and telephone enquiries and handling payments accurately.

Previous experience within a medical, dental, podiatry, physiotherapy or other healthcare environment would be advantageous, particularly if you have worked in a patient-facing reception or administrative role. However, we're equally interested in candidates from other backgrounds who have excellent customer service and organisational skills and can demonstrate that they are dependable, capable and comfortable taking responsibility.

As a small independent practice, we're looking for someone who wants to become an important part of the team rather than simply fill a reception position.

Key responsibilities include:

  • Managing reception and providing a professional and welcoming front-of-house service
  • Answering incoming telephone calls and patient enquiries
  • Booking new and existing patients and managing the appointment diary
  • Learning and understanding our different appointment and treatment types
  • Welcoming patients and managing their arrival and departure from the clinic
  • Registering new patients and ensuring the relevant forms are completed
  • Taking and accurately recording card and cash payments
  • Responding to emails and general patient correspondence
  • Carrying out stock checks and ordering supplies
  • Supporting the podiatrists and clinical team with general administration
  • Helping ensure the clinic remains organised and runs smoothly throughout the working day

Hours: 38 hours per week, Monday to Friday
Salary: £33,592 per year (£17.00 per hour)
