Location: Chelsea, London
Hours: Full-time, 5 days per week
Working hours: 8:30am–5:00pm
Salary: Dependent on experience

The Role

We are looking for an experienced and proactive Lead Medical Secretary to play a key role in the day-to-day running and continued development of our busy private dermatology practice in Chelsea.

The core of the role is organising and managing clinics for four consultants, coordinating patient appointments and pathways, and managing private patient and medical insurer billing.

*Experience working in a Dermatology setting and of using Carebit highly desirable. *

Responsibilities

  • Organise and coordinate four consultants' clinics, ensuring schedules and capacity are managed effectively.
  • Manage patient appointments and procedures from initial booking through to follow-up.
  • Manage patient enquiries by telephone and email, providing a highly professional and personal service.
  • Ensure clinics run smoothly, proactively resolving scheduling and administrative issues.
  • Manage billing for private patients and medical insurers, including authorisations and billing queries.
  • Maintain accurate patient, billing and administrative records.
  • Work closely with consultants, clinical staff and colleagues to ensure the efficient day-to-day running of the Practice.
  • Liaise with hospitals, laboratories, pharmacies, insurers and other healthcare providers.
  • Play an active role in identifying opportunities to improve systems, processes and operational efficiency.
  • Work alongside colleagues to enhance the patient experience and support the continued growth and development of the Practice.
  • Help implement new services, systems and ways of working.
  • Handle sensitive patient and Practice information with discretion and confidentiality.

Experience & Skills

  • Strong experience as a Medical Secretary, Senior Medical Secretary, Patient Pathway Coordinator or in a similar private healthcare role.
  • Experience managing busy consultant clinics and complex patient appointment schedules.
  • Experience of private patient and medical insurance billing is highly desirable.
  • Experience using Carebit would be a significant advantage.
  • Highly organised with excellent attention to detail and the ability to manage competing priorities.
  • Proactive and solutions-focused, with the confidence to identify opportunities and suggest improvements.
  • Excellent written and verbal communication skills, with a professional and empathetic approach to patients.
  • Commercially aware, with an interest in contributing to the growth and development of the Practice.
  • Collaborative and comfortable taking ownership while working as part of a close-knit team.
  • Strong understanding of confidentiality and the standards expected within private healthcare.
