Full job description

The Mary How Trust for Cancer Prevention is an independent, CQC registered, West Sussex charity. The Trust’s health screening service aims to spot the early signs of life-threatening illnesses such as heart disease, diabetes, bowel cancer, prostate cancer and abdominal aortic aneurysm.

We pride ourselves on providing a welcoming, professional and supportive service to our clients, and our dedicated team plays a vital role in making this possible.

We are looking for a highly organised, enthusiastic and personable Appointments & Results Co-ordinator to join our friendly team in Pulborough.

About the Role

This is a varied and rewarding position, ideal for someone who enjoys working with people, has excellent attention to detail and thrives in a busy, team-focused environment.

You will play an important role in supporting our clients throughout their health screening journey, from their initial enquiry and appointment booking through to the accurate processing and distribution of their results.

As one of the first points of contact for our clients, you will help ensure everyone receives a welcoming, professional and positive experience.

Key Responsibilities

Appointments & Client Services

  • Manage health screening appointments, including bookings, cancellations and amendments.
  • Respond to telephone calls, emails and client enquiries in a friendly, professional and efficient manner.
  • Welcome clients attending the clinic and provide excellent customer service.
  • Handle client queries sensitively and effectively, escalating where appropriate.
  • Help ensure the smooth running of daily clinic appointments.

Results Administration

  • Accurately input health screening results into our clinical management system.
  • Prepare, check and distribute client results booklets and correspondence.
  • Ensure results are processed efficiently and in accordance with established procedures.
  • Maintain high standards of accuracy, confidentiality and data protection.
  • Assist with quality control checks and administrative processes.

General Administration

  • Maintain accurate and up-to-date client records.
  • Provide administrative support to the wider clinical and office teams.
  • Support improvements to administrative processes and the overall client experience.
  • Promote awareness of the charity and support fundraising and donation initiatives.

About You

We are looking for someone who is professional, approachable and highly organised, with a genuine commitment to providing excellent customer service.

Essential skills and experience:

  • Previous experience in an administrative or customer-facing role.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Strong organisational skills and the ability to manage competing priorities.
  • Exceptional attention to detail and a commitment to accuracy.
  • Good IT skills and confidence using computer systems.
  • Ability to work effectively both independently and as part of a small team.
  • A proactive, flexible and positive approach to work.
  • Ability to handle sensitive and confidential information appropriately.

Desirable but not essential:

  • Experience working in healthcare, a charity or a wellbeing environment.
  • Experience using appointment booking systems or client databases.
  • An interest in health and wellbeing.

Previous healthcare experience is not essential. We are particularly interested in candidates who bring strong administrative skills, a willingness to learn and a genuine passion for helping people.

Why Join the Mary How Trust?

This is an opportunity to become part of a friendly, dedicated team working for a charity that makes a meaningful difference to people's lives.

You will enjoy:

  • A varied and interesting role where no two days are quite the same.
  • The opportunity to contribute to an important local charity.
  • A supportive and collaborative working environment.
  • Opportunities for training, learning and professional development.
  • The satisfaction of knowing your work helps support the early detection of potentially serious health conditions.

Working Hours

This is a full-time position based at our Pulborough clinic, with an opportunity to also work at our new site in Godalming, Surrey.

Some flexibility may be required to support the charity's operational needs, including occasional work outside normal hours or at weekends.

If you are an organised, enthusiastic individual who enjoys working with people and would like to be part of a charity making a real difference, we would love to hear from you.
