Versorium Healthcare included clinic rooms / diagnostics and based in Hurstpierpoint (your work will be based at this location).

Job description

Office based at our Hurstpierpoint location.

Seeking a Practice PA to provide full secretarial service to our private clinics. They will play a vital role in supporting the consultant neurosurgeon in his successful and busy practice.

The PA will be bringing their skills and professionalism into the practice involving duties such as, speaking to patients on the telephone, being responsive and reliable all of which are essential tasks within the practice. The life of a PA/Medical Secretary is varied, interesting and a highly valued role within the practice. The qualities, skills and willingness to learn make a big difference to our patient care and to expanding the medical practice with many opportunities along the way. There will be opportunities to advance within this role.

The successful applicant will be supported by another two enthusiastic and friendly PAs who are in post and our practice manager. In addition to 2 clinic nurses. The expectation is presence on-site 09:00-17:00 (5 days a week with one day being a single weekend day biweekly). There maybe a need for an occasional late start. Less than full time (3-4 days a week may also be possible).

Training will be provided on starting the role (to get up to speed with the systems used). Medical secretarial/ administrative/ bookkeeping experience is major advantage to perform this role well.

Examples of main PA duties include:

  • Transcription of clinic letters
  • Bookkeeping / invoicing
  • Social media/ website management
  • Taking calls, contact/liaise with all designated hospitals/clinics for booking clinics and theatre lists ensuring booking information is communicated to all parties as required (mainly performed by the primary PA already in post)
  • To maintain accurate diary and letter/email records
  • Following up on business projects.
  • To provide a point of contact and support for patients having appointments, consultations and clinical procedures with the consultant

Depending on the level of experience (experience as a medical secretary is preferred), it may take a few weeks to get the level needed to do the work within that time commitment ). There is an expectation that effort and commitment is shown at the early stage in order to pick up how to run the practice processes as early as possible. It may mean (if there is a lack of experience in some aspects of the role) that extra time is needed from the successful applicant to learn / become familiar with the role.

The aim is to be able to able to deal with enquiries (realistic time frames to respond to tasks are set within the practice e.g. responding to emails within a full working day/ transcriptions of clinic letters within 2 working days). The successful applicant will be provided with the company mobile phone/ laptop.

There maybe a trial period (1 week) prior to taking up the post.

Requirements

  • Medical administrative / medical PA experience (essential)
  • A willingness to be flexible about working times (including possible weekend day but this rare and will be compensated with in-Lieu time off)
  • Responsiveness to patients and clients in a timely manner is vital to maintenance and growth of the practice.
  • Conscientiousness/ strong work ethic / diligent.
  • With the team meetings, owning a car may be essential. And location of the applicant needs to be in or near to Brighton/ Hurstpierpoint.
  • Good time management and articulate.
  • Well presented with a professional approach and pride in the work is an essential.
  • Excellent communicator (verbal and written)
  • Competent in all basic IT skills
  • Strong administrative skills (ability to work in a fast pace admin role)
  • Self motivated / organised

Desirable requirements

  • Knowledge of internet marketing / social media marketing is desirable (including SEO) but not essential
  • Experience with medical or medico-legal practice is desirable but not essential.

Pay grade on the range is dependent on experience.

There is an opportunity for rapid. pay progression with performance milestones / experience in post and business growth.

This is initially a 9-month fixed-term maternity cover position. As Versorium continues to grow, there may be opportunities for the successful candidate to be considered for a permanent role, depending on business requirements.
